Overview for Administrative Assistant
The PNW Accessibility Center is seeking a Part-Time TemporaryAdministrative Assistant. The Administrative Assistant providescomprehensive administrative, customer service, accommodated testproctoring, and program support for the PNW Accessibility Center(PAC). This position serves as a primary point of contact forstudents, faculty, staff, and external partners, assisting with thecoordination of academic accommodations, exam services, studentintake processes, and accessibility-related resources.

- Monday-Friday 12:30-4:30
- Up to 20 hours per week for academic year – hours based onbusiness need
Duties and Responsibilities for Administrative Assistant
- Communicate with prospective and current students regarding PACservices, application processes, and eligibility requirements.
- Send applicant communications, including information about theintake process, required documentation, and orientationmaterials.
- Verify student information, including PNW identificationnumbers and university email addresses, within accessibleInformation Management (AIM).
- Request and process medical documentation and Release ofInformation (ROI) forms from students for healthcare providers,schools, and other agencies as needed.
- Assist students with completing and updating accommodationapplications and resolving application issues.
- Schedule intake appointments and meetings with AccessCoordinators, students, faculty, and staff.
- Follow up with students regarding application status andaccommodation requests.
- Provide guidance to students on scheduling exams anddistributing accommodation letters through AIM.
Exam and Accommodation Support
- Schedule accommodated exams and quizzes in accordance withstudent accommodation plans.
- Request exams and testing instructions from faculty asneeded.
- Proctor accommodated examinations and ensure compliance withaccommodations and testing procedures.
- Assist students with transferring responses from paper-basedexams into Brightspace when required by approvedaccommodations.
- Communicate with faculty regarding student questions orconcerns that arise during examinations.
- Set up and monitor testing equipment, including cameras andtesting stations.
- Maintain clean, organized, and secure testingenvironments.
- Upload completed examinations and related testing documentationinto designated systems.
Administration and Office Operations
- Answer telephone calls, respond to emails, and provide customerservice to students, faculty, staff, and visitors.
- Maintain electronic records and upload files to SharePoint andother departmental systems.
- Print, process, and maintain Testing Information Forms (TIFs)and related documentation.
- Update departmental databases, spreadsheets, and trackingsystems, including lobby interaction records.
- Support routine office operations and perform generaladministrative duties as assigned.

Education for Administrative Assistant
- High school diploma or GED required.
- Associate degrees in Office Administration, BusinessAdministration, Education, Disability Services, or a related fieldpreferred.
Experience for Administrative Assistant
- Two (2) years of administrative support, customer service,higher education, student services, disability services, healthcareadministration, or related experience.
- Experience working with confidential records and sensitiveinformation.
- Experience using databases, document management systems, andMicrosoft Office applications
