Job summary

The Population Studies Center (PSC) at the University of Pennsylvania seeks a part-time Administrative Assistant to provide general administrative support, including travel arrangements, expense reports, ordering supplies and coordinating the office under close supervision.

The role requires strong written and verbal communication, proficiency with Microsoft Office, and the ability to work independently or with faculty, staff and students in a higher education setting.

Qualifications

  • High School Grad/GED with 1–2 years of experience or equivalent.
  • College degree preferred.
  • Knowledge of Microsoft Office Suite (Word, Excel, Outlook).
  • Strong verbal and written communication skills.
  • Time-management and attention to detail.
  • Prior administrative work in higher education is preferred.
  • Ability to work independently or with faculty, staff and students.

  • Make travel arrangements and create travel reimbursements for visitors, faculty, students, and postdocs/visiting scholars
  • Assist with coordination and planning of events; order catering and assist with setup and cleanup; schedule meetings and conferences

Job Description

The Population Studies Center (PSC) at the University ofPennsylvania (Penn) has fostered research and training inpopulation since 1962, with support from the NIH. Our goal is toremain a world leader in research on the growth and structure ofhuman populations and on how socioeconomic circumstances andpopulation variation shape health.

Job Responsibilities:
  • Make travel arrangements and create travel reimbursements forvisitors, faculty, students, and postdocs/visiting scholars
  • Assist with the coordination and planning of various events.Order catering, assist with catering delivery, setup, and cleanup.Assist with scheduling meetings and conferences.
  • Office Coordination. Purchase supplies, manage office andsupplies, and distribute mail.

This position is a Regular Part-timestaff member position.

Qualifications:
  • High School Grad/GE Degree and 1 to 2 years of experience orequivalent combination of education and experience isrequired.
  • College degree (Preferred).
  • Software proficiency: Knowledge of office tools like theMicrosoft Office Suite (Word, Excel, Outlook).
  • Communication: Strong verbal and written communicationskills.
  • Organization: Time-management abilities and attention to detailto handle calendars, filing systems, and scheduling.
  • Previous administrative work within a higher education settingis strongly preferred.
  • Ability to work independently or cooperatively with faculty,staff, and students.
