Responsibilities

Job description

Position Summary

The Parish Administrator is responsible for the day-to-day administrative operations of All Saints’ Episcopal Church, supporting the clergy, staff, lay leaders, and parish community. The Parish Administrator serves as a welcoming and professional point of contact for the church and helps ensure that parish communications, records, events, facilities, and office functions are organized and running smoothly.

The ideal candidate is organized, dependable, detail-oriented, personable, and comfortable managing multiple priorities in a busy church environment. The position requires discretion in handling confidential information and the ability to work collaboratively with clergy, staff, volunteers, parishioners, and outside vendors.

Church Office Administration

  • Manage the daily operations of the parish office.
  • Serve as a primary point of contact for parishioners, visitors, clergy, staff, and community members by phone, email, and in person.
  • Maintain organized electronic and paper files, records, forms, and administrative documents.
  • Monitor and respond to general church correspondence and inquiries.
  • Maintain office supplies, cleaning supplies, equipment, and coordinate service or repairs as needed.
  • Coordinate calendars, meetings, appointments, and use of church facilities.
  • Assist the clergy with administrative projects and special assignments.

Parish Communications

  • Prepare and distribute parish communications, including emails, newsletters, bulletins, announcements, mailings, and other materials.
  • Maintain and update the church website and social media accounts, as appropriate.
  • Collect information and submissions from clergy, staff, parish organizations, and ministry leaders for weekly and seasonal communications.
  • Assist with maintaining current parish contact information and directories.

Worship and Church Calendar

  • Work with clergy, music staff, and lay leaders to support the administrative needs of Sunday worship and special services.
  • Prepare and coordinate weekly bulletins and service materials.
  • Maintain the master church calendar, including worship services, meetings, programs, weddings, funerals, baptisms, concerts, and other events.
  • Coordinate logistical details for special services and parish events.

Parish Events and Ministries

  • Provide administrative support for parish programs, ministries, committees, and special events.
  • Support outreach and community-service initiatives sponsored by the parish.

Financial and Recordkeeping Support

  • Assist with routine administrative aspects of parish finances, including processing invoices, reimbursements, deposits, and other documentation as assigned.
  • Process payroll through ADP for both the church and preschool, ensuring payroll information is accurate and submitted in a timely manner.
  • Maintain employment and personnel records for church and preschool employees, ensuring records are accurate, current, and handled confidentially.
  • Coordinate employee benefits for church and preschool staff through the Diocese and Church Pension Group, including enrollment, changes, and related communications.
  • Maintain accurate records and provide information to the Treasurer, Vestry, or other designated parish leaders.

Qualifications and Skills

  • Proficiency with Microsoft Office and/or Google Workspace and Quickbooks
  • Comfort learning and using church databases, website platforms, email marketing systems, and other technology.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to work independently while also functioning effectively as part of a team.
  • Experience working in a church, nonprofit, school, or other community-based organization is a plus.

Reports to: Clergy and/or Wardens

Position: Parish Administrator

Schedule: 30 hours per week – Monday through Friday from 9 am to 3 pm

Employment Status: Part-time

Compensation: $39,000-43,500 annually ($25-28 per hour)
