Intellectual Property Legal Assistant/Paralegal
Wisconsin or Minneapolis (Hybrid)
Full-Time
$30.00 – $40.00 per hour (commensurate with experience)

I am currently representing one of the Midwest’s premier full-service law firms as they seek an experienced Intellectual Property Legal Assistant/Paralegal to join their highly regarded IP Practice Group. This is an exceptional opportunity for a detail-oriented, proactive legal professional to support a sophisticated team of IP attorneys across patents, trademarks, and copyrights. The firm offers a collaborative, growth-oriented environment where your expertise will be valued and supported.

You will provide comprehensive administrative and legal support to attorneys handling complex intellectual property matters. You will play a central role in maintaining docket deadlines, coordinating filings with the USPTO, managing client communications, and ensuring seamless workflow across the practice group.

Key Responsibilities
  • Oversee complex attorney calendars, monitor critical IP docket deadlines, schedule proceedings, and manage statutory timelines with extreme precision.
  • Draft, format, proofread, and revise IP correspondence and legal documentation. Coordinate electronic filings with the USPTO and relevant administrative bodies.
  • Assist with trademark and patent filings, prosecution workflows, renewals, maintenance fees, and portfolio organization.
  • Maintain physical and electronic client files, handle intake/records management, and communicate professionally with clients, government agencies, foreign associates, and courts.
  • Assist with billing workflows, time entry, expense tracking, and administrative operations while identifying ways to optimize departmental workflows.
Qualifications & Candidate Requirements
  • Prior direct legal assistant, paralegal, or hybrid support experience within an Intellectual Property practice group is required.
  • Experience working in a law firm environment ranging from 11–50 to 51–200 attorneys (or equivalent mid-sized to regional law firm background).
  • Proficiency with Microsoft Office Suite, legal practice management software, and IP docketing tools/USPTO filing systems.
  • Outstanding organizational skills, strong calendaring abilities, sharp attention to detail, excellent written/verbal communication, and the ability to operate independently in a deadline-driven setting.
