The County of Lancaster is seeking a full-time Probate/Marriage Clerk paralegal to handle probate filings, prepare citations, host virtual proceedings, and support the office's daily operations.

You will process mail, assist with Orphans' Court and Inheritance Tax filings, scan documents, and train probate clerks while maintaining confidentiality and accuracy.

Qualifications

  • High School Diploma; Preferred Associates Degree/paralegal studies certification, or commensurate prior experience.
  • 1 year of relevant experience.
  • Significant experience with Microsoft Office Suite, specifically Outlook, Word, and Excel.
  • Experience in legal field desirable.
  • Must be cross trained or have applicable experience in at least three different areas related to the office's core objectives and assist in those areas on a regular basis.
  • Able to maintain confidentiality.
  • Able to multi-task and organize work.

Responsibilities

  • Accept and input probates and related filings
  • Prepare probate documents for pick-up or mailing
  • Process short certificate requests
  • Process mail and phone requests
  • Prepare citations & Register's decrees
  • Type letters for the Register & prepare subpoenas
  • Schedule & host virtual probate proceedings
  • Scan documents
  • Back up Marriage Clerk as needed by processing marriage applications, preparing certified duplicate marriage licenses, processing mail requests, and inputting marriage returns
  • Assist with daily deposit
  • Testing of software programs as needed
  • Oversee probate clerks training
  • Assist in meetings with software provider and provide back up to the marriage clerk

Job Description:
JOB SUMMARY
  • The Register of Wills accepts and maintains filings for probate and appoints representatives of estates.
  • The full-time paralegal is responsible for accepting and processing probate petitions and related filings, maintaining a working knowledge of the PEF Code, preparing citations, Register's decrees, typing letters and subpoenas, scheduling and hosting virtual probate proceedings, analyzing legal issues under the PEF Code, tracking when Estate representatives do not comply with filing requirements, accepting Orphans' Court and Inheritance Tax filings and payments, and processing mail and phone requests.
  • Assist in all aspects of office-wide scanning initiative by scanning all documents into electronic case management system.
  • Responsibilities also include overseeing and training of probate clerks, actively participating in meetings with software provider and conducting testing and providing back up to the marriage clerk.
  • Employee will also be responsible for the collection of money taken in during the business day and reconciling the amount of monies collected with the supervisor at the end of each day.

  • Accept Inheritance Tax filings and payments at counter
  • Process requests for exemplifications and certified wills
  • Maintain forms supply for counter use
  • Docketing
  • Answering telephones for all departments as needed
  • Filing documents
  • Assist the Deputy Clerk of Orphans' Court as needed
  • Assist Inheritance Tax Clerk as needed
  • Assist Chief Deputy as needed
  • Maintain working knowledge of PEF Code
MINIMUM QUALIFICATIONS
