Job description

We are seeking a highly organized, experienced paralegal to join our legal team. This role combines comprehensive legal support with efficient office management at a boutique civil litigation firm, ensuring smooth daily operations while providing expert assistance across plaintiff-side employment litigation and some business litigation.

You will be part of a small, tightly knit firm that prides itself on high-touch, personalized advocacy. We are selective about the matters we take on and keep our caseload deliberately small. We represent employees who have experienced workplace discrimination, harassment, retaliation, wrongful termination, and wage and hour violations. Because of that, you will need interpersonal skills and a natural instinct for trauma-informed communication with clients, both prospective and current.

As our firm grows and shifts its focus toward trial litigation, we are looking for someone excited to help build the systems behind that work: stronger organization, new technology, and more efficient processes. The ideal candidate is proactive, detail-oriented, and passionate about delivering exceptional administrative and legal support.

The position provides the option to work one day remotely per week and will otherwise be required to primarily work in-office, along with the rest of the team. We are a lifestyle firm and work hard to maintain a sustainable environment.

Responsibilities:
  • Manage and coordinate document filing in California state court, federal court, and arbitration; data entry; and document review.
  • Maintain organized and up-to-date case files using document management systems such as Dropbox, SharePoint, and Clio.
  • Assist with case management by tracking deadlines, scheduling meetings, preparing case and trial materials, drafting documents (such as shells for correspondence, motions, and discovery), and ensuring compliance with procedural law requirements.
  • Support discovery efforts by calendaring all dates and deadlines, drafting discovery shells, and maintaining an organized file of all correspondence and documents.
  • Conduct legal research as needed, utilizing Westlaw, and other research tools.
  • Handle client communication promptly and professionally via phone and written correspondence, ensuring confidentiality at all times.
  • Oversee office management and operations such as managing meetings, ordering office supplies, managing mail and packages, managing internal office administrative paperwork (including basic employee onboarding in partnership with HR vendors), and supporting client experience. This will be a smaller share of your role.
  • Provide administrative support to attorneys, including calendar management, meeting coordination, filing support, deposition coordination, travel logistics, and other administrative functions as needed.
Experience:
  • Proven paralegal experience (3+ years) in employment law, civil litigation, or related fields.
  • Demonstrated expertise in legal research using Westlaw or LexisNexis and familiarity with procedural laws across jurisdictions such as California courts, federal courts, and arbitration.
  • Strong organizational skills with the ability to manage multiple priorities efficiently in a litigation role with competing deadlines.
  • Experience using legal case management software (e.g., Clio) and document management systems. Advanced proficiency in Microsoft Office is essential. Bonus points if you are excited about engaging with new technologies and assisting with firm integration to maximize efficiency.
  • Familiarity with, or the ability to quickly locate, the California Rules of Court (Titles 2, 3, and 8), the Code of Civil Procedure's filing and service provisions, Judicial Council forms, the California Style Manual, and the local rules, general orders, departmental requirements, and e-filing systems of California superior courts to ensure all work is produced in file-ready format.
  • Excellent written and verbal communication skills with attention to detail for proofreading and legal drafting tasks.
  • Ability to cite-check legal documents by cross referencing Westlaw and the California Style Manual.
  • Background in handling confidential information professionally and maintaining strict adherence to client privacy requirements, confidentiality, and attorney-client privilege standards.
  • Knowledge of project management principles applied within a legal setting to streamline workflows and improve office efficiency.
  • Experience working with a wide variety of clients, including those who have experienced trauma, and supporting them through the litigation process.
