Job description

This part-time, non-benefited position is responsible for training, supervising and directing pantry staff and coordinating the day-to‑day activities in the pantry. This position endures proper volunteer coverage, provides timely submission of all required monthly reports, and coordinates all food procurement, distribution, deliveries and food donations. The pantry coordinator is responsible for cleanliness and organization in the pantry according to standard food practices and USDA guidelines, maintains both digital and paper records and oversees proper flow of client-choice procedures.

The Sallisaw food pantry provides nutritious food in a dignified shopping environment.

Ministerial
  • As a ministerial representative of CCEOK, maintain professional and personal conduct that aligns with the ethical and moral standards of the Catholic Church
  • Pray daily for the needs of the poor through personal prayer, daily Mass, and/or adoration
  • Be willing to learn and apply Catholic teaching in this role
  • Help foster a shared culture of ministry across program operations and management
Leadership
  • Schedule, train, and supervise pantry volunteers to support packing, stocking, and distribution activities, ensuring each knows their role, and ensuring there is sufficient volunteer coverage
  • Ensure compliance with food safety standards and pantry policies
  • Maintain accurate records of inventory, donations, client data, prepare and submit reports as required
  • Ensure food is appropriately marked USDA or Non-USDA and dated and that all shelves are stocked using First in, First Out (FIFO) rotation
  • Communicate daily with the manager of any shortfalls in staffing or food
  • Hold daily team meetings with pantry staff, addressing concerns, changes and challenges
  • Recruit additional help for the pantry and mobile pantry
  • Oversee proper food distribution according to family size
  • Monitor cleanliness and proper consolidation of coolers and freezers
  • Responsible for creating and maintaining a current Feeding America pick up schedule that includes all driver’s names and phone numbers, listing pick up locations and dates and volunteer, along with the contact numbers for each of those stores, updated monthly
  • Ensure all janitorial duties are accomplished daily and weekly and that the pantry is locked and secure at the end of each day
Budget and Records Management / Fund Sourcing
  • Routinely place orders with the Food Bank while staying within budget
  • Actively work to secure additional food resources and grow pantry operations
  • Maintain service records on all equipment in the pantry and contact the respective providers for necessary service notifying the manager of all service related appointments and the costs associated
  • Keep accurate temperature records of all refrigeration according to USDA requirements
  • Keep accurate “frozen goods” records for all Feeding America pick ups and ensure the drivers use the provided freezer thermometers and record the temperatures at pick up and arrival at the center
  • Keep current with all Food Bank recalls and USDA communications and regulations
  • Generate, file and keep accurate files of all Food Bank reports, including CFSP and Summer Feeding Program
  • Record all food in and out in Primarius
  • Provide manager with required reports in a timely fashion.
Community Outreach
  • Communicate quarterly with the Dollar General managers about their donations and meet with each semi-annually in March and October in order to build and maintain good working relations
  • Build relationships with other local food pantries
  • Participate in the Webbers Falls Mobile Pantry at least every other month
Qualifications/Education:
  • High school diploma required; some college preferred
