Job summary

JM Test Systems, LLC. is seeking a To-Factory Specialist to own outsourced calibration and repair work from approval to receipt. You will coordinate between customers, vendors, and internal teams and manage purchase orders in Sage, tracking shipments and certificates to ensure compliance and on-time delivery.

You thrive when highly organized, with the ability to juggle multiple priorities with urgency and accuracy, ensuring records are complete and processes run smoothly across the lab workflow.

Qualifications

• High school diploma or equivalent is required.
• Strong organizational skills and attention to detail are essential for managing multiple priorities in a fast-paced environment.
• Excellent written and verbal communication with a customer-service mindset and sense of urgency.
• Basic computer skills, including Microsoft Office.
• Ability to work independently and solve problems effectively.
• Ability to lift up to 50 lbs and travel to other locations for training or support.
• Experience with Sage or another ERP system is preferred.

Responsibilities

• Coordinate outsourced service by reviewing work orders, requesting quotes and RMAs, providing estimates and securing approvals.
• Manage purchasing and shipping: create and manage purchase orders in Sage, coordinate shipments, and track return dates.
• Verify quality on return: check equipment and documentation for accuracy, confirm calibration certificates meet standards, process receipts, and retour equipment to the lab.
• Serve as the primary liaison between customers, vendors, and internal teams with timely updates on status, delays, and approvals.
• Maintain accurate records: track updates in CalMapp and keep organized records of outsourced work and communications.
• Manage vendors and measure results: track vendor performance, assess turnaround times, research new vendors, and help improve processes.

Job Summary — The Opportunity

Some customer equipment needs calibration or repair from the original manufacturer or a specialized vendor, and customers still count on us to get it done right and on time. As our To-Factory Specialist, you'll own that process from start to finish.

In this role, you will manage outsourced calibration and repair services, from getting customer approval and vendor quotes to creating purchase orders, tracking shipments, and verifying equipment and paperwork when it comes back. You'll be the central point of coordination between customers, vendors, and our internal teams, keeping everyone informed and every job moving.

Key Responsibilities & Outcomes

• Coordinate outsourced service. Review work orders to determine outsourcing needs, request quotes, pricing, and RMAs from vendors, provide estimates to customers, and secure approvals.
• Manage purchasing and shipping. Create and manage purchase orders in Sage, coordinate shipments to vendors, and follow up on expected return dates.
• Verify quality on return. Check incoming equipment and documentation for accuracy, confirm calibration certificates meet quality standards, process receipts, and route equipment back to the lab.
