Job summary

Guidehouse in Arlington, VA is seeking a Managing Consultant to lead a DoW outreach and training team, coordinating end-to-end events from planning to post-event reporting. You will engage government stakeholders, manage budgets, and oversee onsite logistics for high-visibility programs.

The role requires seven or more years of logistics/event planning experience, strong communication skills, and the ability to travel for multi-day onsite support. A Bachelor’s degree is required.

Responsibilities

  • Plan end-to-end training sessions, directorate events, conferences, roundtables, and stakeholder engagements.
  • Engage with government stakeholders to clarify objectives and gather requirements.
  • Coordinate with hotels, conference centers, and venues, including contracts and onsite logistics.
  • Coordinate with Guidehouse procurement to secure rates and contracts.
  • Oversee room layouts, registration, attendee tracking, scheduling, and run-of-show docs.
  • Serve as onsite logistics lead and resolve issues in real time.
  • Support outreach, communications, and distribution of materials.
  • Conduct after-action reviews and capture lessons learned for process improvement.
  • Manage, coach, and train team members supporting client delivery.
  • Manage project scope, budget, and schedule for timely delivery.
  • Maintain client relationships to ensure satisfaction and delivery excellence.

What You Will Do :

As a Managing Consultant supporting a Department of War project supporting military community and quality of life programs, you will lead a team in planning, coordinating, and executing high-visibility outreach and training events for a government client. Your responsibilities will include:

  • Event Planning & Execution: Support end-to-end planning of training sessions, directorate events, multi-day conferences, roundtables, and stakeholder engagements.
  • Client Engagement & Requirements Gathering: Work directly with government stakeholders to clarify event objectives, collect requirements, document needs, and ensure all planning aligns with program priorities.
  • Venue & Vendor Coordination: Liaise with hotels, conference centers, and other venues to negotiate rates, secure meeting space, request A/V packages, review contracts, and coordinate onsite logistics.
  • Coordination with Guidehouse Procurement: Coordinate with Guidehouse procurement team to share client budgets, requirements, and potential vendors and events spaces such that Guidehouse procurement can negotiate rates and secure contracts.
  • Logistics Management: Oversee room layouts, signage, registration, attendee tracking, scheduling, run-of-show documentation, materials preparation, shipping, and coordination with government and contractor partners.
  • Onsite Event Support: Serve as the onsite logistics lead for key events; manage real-time issue resolution; coordinate with venue teams, government representatives, program managers, and support staff.
  • Outreach & Communications Support: Assist with strategic communication efforts to promote events, share updates, distribute materials, and coordinate messaging across directorates.
  • Post-Event Reporting: Conduct after-action reviews, summarize lessons learned, track issues, compile feedback, and support continuous improvement of event planning processes.
  • Team Management: Manage, coach, mentor and train team members supporting client delivery
  • Schedule and Resource Management: Manage project scope, budget, and schedule to support on-time, quality delivery.
  • Client Relationship Management: Manage and maintain client relationships to support client satisfaction and delivery excellence.
What You Will Need :
  • Bachelor's degree
  • SEVEN (7) or more years of professional work experience supporting logistics, event planning, project coordination, or outreach activities. Experience should include:
  • Experience leading projects, including establishing and managing work plans
  • Experience leading a team of FOUR (4) or more staff
  • Strong strategic communication experience, including preparing briefing materials, drafting emails, coordinating messaging, and supporting client-facing engagements.
  • Demonstrated event planning experience, including management and coordination of multi-day events, stakeholder meetings, breakout sessions, and trainings.
  • Experience coordinating/managing procurement for events and events logistics (e.g., coordinating cost estimates and contracts with venues, events vendors, and supply vendors)
  • Excellent organizational skills, with the ability to manage many moving pieces, maintain trackers, coordinate schedules, and respond quickly to evolving client needs.
  • Clear and effective communication skills, both verbal and written; confidence interacting directly with government clients and senior stakeholders.
  • Ability to manage team and work independently on fast-paced, high-priority tasks, while collaborating effectively with internal teammates and external partners.
  • Willingness to travel for onsite event support (often multi-day commitments).
  • Proficiency with common collaboration and planning tools, including Microsoft Teams, Outlook, SharePoint, Excel, and Word.
What Would Be Nice To Have :
  • Experience managing event logistics or planning for federal government clients, particularly DoW.
  • Experience negotiating or coordinating with hotels, conference centers, or large event venues, including reviewing contracts, minimums, and setup requirements.
  • Familiarity with A/V coordination, onsite technical troubleshooting, or coordinating with production vendors.
  • Understanding of federal procurement processes and policies, especially as they relate to coordinating government-sponsored events.
  • Prior experience supporting outreach, communications, or stakeholder engagement efforts.
  • Familiarity with military family programs, quality of life initiatives, or federal readiness/support offices.
