Role Description
The Logistics Coordinator is a full-time, hybrid role based in La Jolla, California, United States, with some flexibility to work from home. This role oversees the daily movement of products from Solely Certified Farms and production facilities to warehouses, distribution centers, and customers. Responsibilities include coordinating outbound shipments, monitoring inventory levels, and ensuring accurate and timely order fulfillment. The Logistics Coordinator will work closely with suppliers, transportation partners, and internal teams to resolve delivery issues, optimize routing, and maintain up-to-date records in logistics and inventory systems. Additional duties include preparing reports, tracking key performance metrics, supporting continuous improvement initiatives, and ensuring compliance with company policies and applicable regulations.
Responsabilities
- 2+ years of hands-on logistics, transportation, or supply chain experience, preferably in a CPG, food, distribution, or 3PL environment.
- Receive, review, and accurately process customer purchase orders and sales orders in the ERP system.
- Verify customer PO information including SKUs, quantities, pricing, ship-to address, requested delivery dates, payment terms, and shipping requirements.
- Review orders for accuracy and identify discrepancies, missing information, inventory constraints, or other issues before releasing orders for fulfillment.
- Coordinate with Sales, Customer Service, Planning, Inventory, Warehouse, and Production to ensure orders are processed and fulfilled on time.
Transportation & Shipment Coordination
- Proven experience booking and coordinating LTL and FTL shipments, including selecting carriers, obtaining rates, scheduling pickups, and confirming delivery requirements.
- Strong understanding of freight dimensions and weights, including the ability to accurately calculate and verify pallet count, pallet dimensions, total weight, and shipment details needed for freight quotes and BOLs.
- Experience preparing and reviewing Bills of Lading (BOLs), packing lists, shipping labels, routing instructions, and other transportation documentation.
- Working knowledge of LTL freight classes, NMFC classifications, accessorial charges, and carrier requirements.
- Experience tracking shipments from pickup through delivery and proactively following up on delays, missed pickups, delivery exceptions, and other transportation issues.
- Hands-on experience managing OS&D (Overages, Shortages & Damages), including researching discrepancies, documenting damage, obtaining PODs/photos, communicating with warehouses and carriers, and determining appropriate next steps.
- Experience with the freight claims process, including preparing and submitting claims, gathering supporting documentation, following up with carriers, and maintaining claim records through resolution.
Communication & Customer Service
- Strong understanding of carrier relationships and transportation communication, with the ability to confidently communicate with carriers, drivers, warehouses, customers, and internal teams.
- Comfortable speaking on the phone. This position requires frequent phone communication with carriers, warehouses, customers, and internal departments. The candidate must be comfortable making calls, asking questions, resolving issues, and professionally escalating problems when necessary.
- Exceptional attention to detail and accuracy when entering shipment information, reviewing orders, confirming quantities, calculating freight requirements, and preparing transportation documentation.
- Strong organizational skills with the ability to manage multiple shipments, priorities, deadlines, and follow-ups simultaneously.
Qualifications:
- Associate or bachelor’s degree in business, supply chain, logistics, or a related field is beneficial, or equivalent practical experience.
- Ability to work effectively in a fast-paced environment where priorities and shipment requirements can change quickly.
- Experience working with ERP, WMS, TMS, carrier portals, or transportation/shipping software.
- Proficiency in Microsoft Excel, Outlook, and other Microsoft Office applications.
- Must be proactive, dependable, accountable, and comfortable taking ownership of issues from start to finish.
- LTL and FTL shipment booking experience and ability to accurately calculate pallet dimensions, weights, and freight requirements
- Experience preparing BOLs and shipping documentation
- Experience with OS&D and filing and managing freight claims
