Position Summary:
The Order Management Specialist manages the day‑to‑dayadministrative flow of customer orders from receipt through shipment. This roleis responsible for timely and accurate order entry, order acknowledgment, POand delivery‑date tracking, order‑status research, shipmentcoordination, and maintaining complete and accurate order information. Thespecialist works closely with Program Management, Planning, Operations, andShipping to resolve routine order issues and ensures customer commitments aremet. Escalates disputes, significant delivery issues, or risk to customercommitments to the Program Manager.
Key Responsibilities:
- Enter, acknowledge, and maintain customer orderswith a high degree of accuracy.
- Monitor purchase orders and track delivery datesto ensure timely fulfillment.
- Research and resolve routine order‑statusquestions and issues.
- Coordinate with Planning, Operations, andShipping to support on time delivery.
- Maintain up‑to‑date and accurate orderinformation across all systems.
- Communicate order updates to internal teams asrequired.
- Escalate customer disputes, significant deliveryproblems, or risks to commitments to the Program Manager.
- Support continuous improvement of order‑managementprocesses.
Qualifications:
- 2–4 years of experience in order management,customer service, supply chain administration, or a related operational supportrole.
- Strong attention to detail with a proven trackrecord of accurate data entry and record maintenance.
- Solid understanding of order‑processingworkflows from order receipt through shipment.
- Experience working with ERP or order‑managementsystems; familiarity with platforms such as Syteline, SAP, Oracle, NetSuite, orsimilar is a plus.
- Ability to interpret purchase orders, deliveryschedules, and basic contractual requirements.
- Strong organizational skills, with the abilityto manage multiple orders, deadlines, and priorities simultaneously.
- Effective verbal and written communicationskills for collaborating with internal cross‑functional teams and providingclear order updates.
- Problem‑solving mindset with the abilityto research issues, identify root causes, and follow through on resolutions.
- Comfortable working in a fast‑pacedenvironment with changing priorities.
- Proficiency with standard office software(Excel, Outlook, Word); ability to maintain tracking logs and performancesummaries.
- Customer‑service orientation and acommitment to supporting on‑time and accurate orderfulfillment.
- Ability to escalate appropriately and recognizewhen an issue requires Program Manager intervention.

- Professional Judgment: Recognizes when issuesexceed routine scope and require Program Manager involvement.
Physical Requirements:
- Abilityto remain in a stationary position (sitting or standing) for extended periodswhen working at a computer.
- Abilityto move throughout the production floor to observe workflow and communicatewith production teams.
- Abilityto occasionally lift or move materials, documents, or small components up toapproximately 25 pounds.
- Abilityto work safely in a manufacturing environment with noise, machine activity, andrequired PPE.
- Abilityto communicate clearly in person, over the phone, and via electroniccommunication.
- Abilityto review printed and digital documents with or without corrective lenses.
- Abilityto perform fine-motor tasks such as handling documents and entering data.
- Abilityto meet attendance and punctuality expectations required for coordinatingproduction schedules.
