Qualifications

  • Associate's or Bachelor's degree, or 1-3 years of experience in customer service or order management.
  • Strong verbal and written communication with customers, sales teams, and internal stakeholders.
  • Proficiency in Excel; experience with ERP/CRM systems is preferred.

Responsibilities

  • Partner with Sales teams, channel partners, and customers to resolve booking discrepancies.
  • Review terms and conditions, reconcile with policies, and ensure accurate order processing with minimized risk.
  • Respond to inquiries and resolve complaints via email and phone professionally.
  • Obtain required approvals per matrices.
  • Support billing processes and generate proforma invoices; escalate billing issues when needed.
  • Ensure compliance with policies and participate in audits.
  • Coordinate domestic and international shipments for on-time delivery.
  • Create and maintain sales documentation for revenue recognition and SOX compliance.
  • Collaborate cross-functionally to drive operational efficiency and process improvement.

The

About The Role
The Order Management Coordinator plays a critical role in ensuring a seamless customer experience by accurately processing orders and serving as a primary point of contact for customers and sales teams regarding order management needs. This position is responsible for entering and maintaining accurate order information within company systems, resolving customer issues and order discrepancies, and coordinating with cross-functional teams to ensure timely fulfillment and delivery. The Order Management Coordinator proactively addresses challenges with accuracy, efficiency, and a customer-focused approach while supporting compliance with company policies and procedures.
Hybrid Work Schedule: This position follows a hybrid work model and is based at our Corporate Headquarters in Rock Hill, SC, with an onsite presence required three days per week.

What You’ll Do
  • Partner closely with Sales teams, channel partners, and customers to identify and resolve booking discrepancies.
  • Review customer terms and conditions, reconcile them with 3D Systems' policies, and ensure orders are processed accurately while minimizing company risk.
  • Respond to customer inquiries and resolve complaints via email and phone in a professional, timely, and customer-focused manner.
  • Obtain required approvals in accordance with company authorization and approval matrices.
  • Support billing processes, generate proforma invoices, and *escalate* billing issues when necessary.
  • Ensure compliance with established policies, procedures, and internal controls, including active participation in internal and external audits.
  • Coordinate domestic and international shipments to ensure on-time delivery.
  • Create and maintain complete sales documentation packages that support revenue recognition requirements and comply with SOX (Sarbanes-Oxley) policies and procedures.
  • Collaborate cross-functionally to drive operational efficiency and continuous process improvement.
What You’ll Bring
  • Associate's or Bachelor's degree, or 1-3 years of experience in customer service, order management, or a related business function.
  • Strong verbal and written communication skills with the ability to interact professionally and effectively with customers, sales teams, and internal stakeholders.
  • Proficiency in Microsoft Office applications, particularly Excel and Word.
  • Ability to thrive in a fast-paced environment while managing multiple priorities and meeting deadlines with minimal supervision.
  • Strong interpersonal skills and the ability to build positive working relationships across all levels of the organization and with external customers.
  • Excellent problem-solving, analytical, and organizational skills, with a proactive approach to identifying and resolving issues.
  • High attention to detail and commitment to accuracy in order processing and documentation.
  • Experience working with ERP systems is strongly preferred; Oracle R12 experience is a plus.
  • Familiarity with Salesforce or other CRM platforms is desirable.
  • Ability to adapt to changing business needs and contribute positively within a collaborative team environment.
