OPS Patient Access and Scheduling Coordinator
Classification Minimum Requirements
- Some College work with two years of experience in an appropriate area; or an equivalent combination of education and experience.
- Fluency in spoken and written English and Spanish.
- Reliable transportation and willingness to travel to mobile clinic sites throughout North Central Florida.
- Experience in patient scheduling, patient access, medical office administration, healthcare customer service, or a closely related setting.
Patient Access and Scheduling
- Schedule new and returning patients in Epic using approved appointment types, decision guides, and scheduling workflows.
- Coordinate appointments across rotating mobile clinic locations and provide accurate site, arrival, and preparation instructions.
Registration and Patient Experience
- Serve as the first voice many patients hear and the first person they meet at clinic.
- Assist patients with forms, financial-assistance processes, transportation workflows, and other approved access supports.
- Complete registration and check-in; verify identity, demographics, contact information, preferred language, communication preferences, insurance information when applicable, and required consents.
Telephone and Clinical Message Routing
- Answer incoming calls and determine whether each request is administrative or clinical.
- Complete and document clinician-directed scheduling or follow-up.
Records, Administrative Support, and Quality
- Obtain prior prenatal, delivery, hospital, laboratory, imaging, and specialty records and identify missing information before visits.
- Maintain accurate and timely Epic documentation, telephone encounters, outreach attempts, and scheduling records.
Mobile Unit Readiness and Administrative Inventory
- Share responsibility for maintaining an organized, clean, fully stocked, and patient-ready mobile clinic under the direction of the OBMOC Program Manager.
- Maintain front-desk, registration, office, education, and other assigned nonclinical supplies.
- Participate in weekly restocking and monthly inventory review; report recurring shortages or storage problems.
- Assist with mobile-clinic setup and breakdown and maintain safe, uncluttered work areas.
Expected Salary
$15.00 hourly
Required Qualifications

- Experience in patient scheduling, patient access, medical office administration, healthcare customer service, or a closely related setting.
Preferred
- Strong organizational skills, exceptional attention to detail, and ability to manage competing priorities.
- Excellent interpersonal communication and ability to build trust with patients
- Current Certified Nursing Assistant (CNA) certification. For an otherwise qualified candidate who is interested in adding this skill, OBMOC will support efforts to obtain CNA certification.
- Experience obtaining and documenting vital signs in a healthcare setting.
- Experience scheduling patients in Epic.
- Experience in obstetrics/gynecology, women’s health, maternal health, primary care, community health, or mobile healthcare.
- Knowledge of medical terminology and pregnancy‑related appointment workflows.
