Job summary

Aloha United Way in Honolulu, HI seeks an Operations Manager to lead cross-departmental processes across governance, operations, and information management. You will partner with the VP of Operations and CEO to implement SOPs and manage projects from scope to completion.

The role requires independent judgment, strong communication, and ability to oversee office operations, vendor relationships, and staff engagement initiatives. A bachelor’s degree and 5 years of experience are required.

The role requires the exercise of independent judgment and discretion in managing operational matters, and functions as a strategic partner to the VP of Operations. This role reports to the Vice President of Operations.

Essential Duties and ResponsibilitiesBoard & Governance

Position Summary

The Operations Manager serves as a central operational leader responsible for planning, coordinating, and managing key organizational processes across board governance, internal operations, and cross-departmental initiatives. The role requires the exercise of independent judgment and discretion in managing operational matters, and functions as a strategic partner to the VP of Operations. This role reports to the Vice President of Operations.

Essential Duties and ResponsibilitiesBoard & Governance

·Serve as the primary board liaison, coordinating directly with the Board Chair, officers, and committee chairs on governance matters.

·Own and manage the annual board and committee calendar, including scheduling and logistics.

·Lead agenda development in partnership with the CEO, VPs, and board leadership.

·Prepare and distribute board meeting packets, presentations, and supporting materials.

·Record, draft, and maintain official board and committee minutes.

·Manage board member records, including terms, officer roles, conflict of interest disclosures, and governance documentation.

·Administer board voting processes and governance compliance procedures.

·Coordinate board member onboarding, orientation materials, and ongoing engagement.

·Maintain the board handbook and ensure governance documentation is current and accessible.

·Independently identify governance issues or compliance gaps and recommend corrective actions to the CEO and VP of Operations.

Operations & Project Management

·Manage cross-departmental operational projects from scoping through completion, including timelines, milestones, and stakeholder accountability.

·Serve as the VP of Operations’ primary delegate on internal initiatives, driving progress and surfacing issues proactively.

·Develop and maintain standard operating procedures and process documentation across operational workflows.

·Evaluate existing operational processes and independently implement or recommend improvements to increase organizational effectiveness.

·Establish priorities and exercise discretion in resolving operational issues and determining appropriate courses of action, escalating to the VP of Operations as needed.

·Lead AUW’s United Way Worldwide operational requirements, including annual certifications, self-assessments, and convenings.

·Own the organizational training calendar; determine approach, manage logistics, and assess outcomes for internal and vendor-led trainings.

·Perform other duties as assigned.

Systems & Information Management

·Assess, design, and maintain organizational filing systems, document management workflows, and information infrastructure.

·Manage centralized resource directories including contact lists, vendor lists, and key operational references.

·Ensure SOPs and governance documentation are current, accessible, and consistently followed across the organization.

Office & Workplace Operations

·Oversee day-to-day office operations including space management, storage, and parking.

·Manage vendor and building management relationships for AUW’s operational needs.

·Procure office supplies and staff materials; manage related vendor accounts.

·Lead emergency preparedness planning and protocol development in coordination with the Operations Team.

Staff Culture & Engagement

As a cross-departmental role with visibility across the organization, the Operations & Administration Manager is expected to be an active culture carrier — modeling AUW’s values and contributing to a workplace where staff feel connected and supported.

·Champion a positive, inclusive, and values-aligned workplace culture across departments.

·Plan and execute all-staff meetings, staff events, and organizational convenings with an eye toward connection and engagement.

·Develop and lead staff engagement initiatives in collaboration with leadership.

·Serve as an approachable, trusted presence for staff on operational and workplace matters.

HR Operations Support

Given AUW’s lean team structure, this role may periodically provide operational support to the HR Manager. Duties in this area are capacity- and need-dependent.

·Support recruitment logistics and candidate coordination as needed.

·Assist with onboarding documentation and new hire logistics.

·Maintain personnel files and HR records in coordination with the HR Manager.

·Support HRIS projects and implementation efforts.

QualificationsEducation & Experience

·Bachelor’s degree, preferably in business, non-profit management or a similar field.

·5 years of experience in operations or a related field.

Skills & Competencies

·Excellent communication and interpersonal skills.

·Strong project management and organizational skills.

·Ability to work cross-functionally and with leadership.

·Ability to exercise independent judgment and prioritize competing demands.

·Proficiency in Microsoft Office and collaboration tools.

Other Requirements

·Must be authorized to work in the United States.

·Must pass a background check and drug test.

·Must be located on O’ahu, Hawaiʻi or have plans to relocate.
