Job description

THE SELECTED CANDIDATE WILL BE OFFERED A SALARY BETWEEN $72,298.00 - $80,000.00

The Administration for Children's Services (ACS) protects and promotes the safety and well-being of children and families through child welfare and juvenile justice services and community supports. ACS manages community-based supports and foster care services and provides subsidized childcare vouchers. ACS child protection staff respond to allegations of child maltreatment. In juvenile justice, ACS oversees detention, placement, and programs for youth in the community.

The Division of Administration provides a wide range of support services throughout the agency to ensure all Divisions receive adequate and efficient support services to carry out their respective missions. The Division of Administration works collaboratively with many program areas offering internal resources and support necessary to function efficiently and effectively. The Division of Administration employs approximately 463 public employees and provides services in the areas building maintenance, occupational safety and health, operational support, security, transportation and print production.

Supply Chain and Compliance, Goods and Specialized Services Unit within the Division of Administration is responsible for the provision of selected goods and specialized services to ACS' families, children in our care and youth residents in our secured detention centers. The team supports and facilitates requests from other ACS divisions, including the Youth & Family Justice, (DYFJ), Child Protection (DCP), Nicholas Scoppetta Children's Center (NSCC), Preventive Services (OPTA) and Family Permanency Services (FPS) to provide critical goods and services, including but not limited to clothing, cribs, beds, commissary, heavy duty cleaning services, window guards, safety gates and DV lock changes.

Under direct supervision of the Executive Director of the Supply Chain and Compliance Unit, the Warehouse Operations Supervisor will coordinate and process requests for goods and specialized services for children in care and for ACS served families based on various level of needs.

Specific duties may include, but are not limited to the following:

  • Purchase / coordinate the purchase of items such as portable cribs, personal hygiene items, smoke detectors / monoxide detectors, etc. for children and youth residents housed at the Children's Center, FPS and DCP.
  • Maintain sufficient inventory levels to meet the demands of bulk order requests and the Children's Center.
  • Track and monitor stored items to ensure accuracy and timely reordering.
  • Conduct regular inventory checks and manage restocking needs.
  • Organize and place inventory in designated areas.
  • Ensure all halls and aisles are free of clutter and trash items are removed.
  • Track non-inventory items and submit items to be relinquished as necessary.
  • Maintain a clean, safe, and organized warehouse environment.
  • Schedule and coordinate deliveries and pickups for:
    • Bulk order requests
    • Children's Center stockrooms
    • DYFJ facilities (Crossroads and Horizon)
    • DPS pack-and-play request
    • Special delivery request for ad-hoc projects and agency needs
  • Oversee the receipt of shipments and ensure proper placement within the warehouse.
  • Maintain DYFJ inventory levels, order as needed, and coordinate deliveries to secure detention centers (Crossroads and Horizon).
  • Manage contracts related to the ordering of supplies needed to fulfill requests from DCP borough offices and the Children's Center stockrooms.
  • Ensure timely ordering and procurement to maintain required inventory levels.
  • Conduct annual inventory counts as required by the Comptroller's Office.
  • Assign inventory count tasks to appropriate staff.
  • Generate and submit finalized inventory reports.

Section 424-A of the New York Social Services Law requires an authorized agency to inquire whether a candidate for employment with child-caring responsibilities has been the subject of a child abuse and maltreatment report.

COMMUNITY COORDINATOR - 56058

Minimum Qualifications
  1. 1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or
  2. 2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or
  3. 3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.
Preferred Skills
  • Proficient in Microsoft Office suite.
  • Minimum of 3-5 years of relevant experience in operations, inventory control, logistics, or a similar environment.
  • OSHA or other relevant equipment safety certifications.
  • Valid driver's license.
  • Previous supervisory experience.
  • Excellent interpersonal and communication skills, with the ability to work effectively across departments.
  • Knowledge and experience with the DPS Order Automation System (DOAS)
  • Knowledge and experience with the AIPTM System (ACSFMS - Financial Management System) is sought
  • Knowledge and experience with the PASSPORT - Procurement and Sourcing Solutions
  • Knowledgeable with City, State and Federal guidelines for Goods and Services Completing and submitting receiving reports and/or completing certifications.
  • Work independently and also function as part of a team in processing requests received from various divisions within ACS
  • Possess strong interpersonal skills, great customer service skills, and organizational skills with the expectation to liaise with various divisions within ACS and with ACS' contracted vendors.manage multiple tasks and responsibilities efficient.
  • Strong analytical skills to assess program needs and ensure timely fulfillment of service requests.
  • Attention to detail in processing invoices, purchase orders, and contract management.

New York City residency is generally required within 90 days of appointment.
