TOTE Maritime Alaska in Tacoma, WA, is hiring an Operations Specialist for full-time, on-site work. The role supports the Vehicle and Cargo Management Departments, handling bookings, invoicing, reporting, and customer relations with accuracy and service.

Operations Specialist

Full-Time Individual Contrib Tacoma, WA, US

POSITION PROFILE (Job Summary)

Be responsible for providing support to the Vehicle and Cargo Management Departments. Duties include managing customer relationships, providing excellent customer service by monitoring and accommodating customer needs, creating, and managing bookings, resolving problems, producing invoices and reports, tracking and prioritizing cargo, entering and approving hazardous materials, and coordinating equipment. This position will be responsible for learning the job functions within these departments. The Cargo Management Department operates dayside and nightside shifts and this position will provide coverage while other team members are out of the office for the nightside shift.

Essential Job Responsibilities AND Results

  • Create, assign and update trailer/vehicle bookings, Bills of Lading and Transport bookings.
  • Support customers by answering questions, tracking cargo, and resolving issues.
  • Coordinate hazardous shipments, answer questions regarding regulations and stipulations with confidence.
  • Use the 49 CFR to approve and enter hazardous shipments.
  • Arrange logistics transloads, deliveries and pickups.
  • Manages customer transactions including Documentation, Rating, Pre-Auditing, Invoicing and Problem Resolution.
  • Collect payment via cash/credit cards with vehicle bookings.
  • Develop an understanding of customer business models/processes for all accounts.
  • Provide excellent customer service to internal and external customers.
  • Anticipate and resolve customer and vendor issues.
  • Build positive, collaborative relationships through open and interactive communication.
  • Effectively perform additional tasks and projects as assigned by manager or supervisor.

Qualifications ( Education, Experience and Certifications)

  • Four years’ experience in the transportation industry.

Knowledge, Skills And Abilities

  • Excellent verbal and written communication skills.
  • Good organizational skills.
  • Must be a team player and provide support to the department.
  • Ability to multi-task and prioritize.
  • Ability to anticipate and understand customer needs.
  • Knowledge of trailing equipment.
  • Ability to use good judgment to make economical decisions.
  • Ability to work under pressure with a high level of accuracy.
  • Computer literate, with the ability to utilize standard software applications and be proficient in Windows and MS Office Suite (Outlook, Word, PowerPoint and Excel).

Typically works in an office environment with adequate lighting and ventilation and a normal range of temperature and noise level. While the job will be primarily during business hours, must be willing to work occasional nights.

Physical Effort

Most work requires normal physical effort.

Manual Dexterity

Requires moderate use of personal computer (word processing and spreadsheets) for compiling reports, statistical data, composing memoranda and other similar documents.

The salary range is $40,000- 67,100, with an anticipated hiring salary of $50,000-$52,000. Pay will be based on several factors including the candidate’s education, work experience, work location and specific job duties.

Full-time employees will receive a minimum of 10 days’ vacation, 10 days sick, 10 days paid holidays and one floating holiday every 12 months.
