Job summary

Year Up United is seeking an Operations Specialist to support site efficiency by defining processes and improving systems. The role includes vendor relations, facilities management, staff support, and collaboration with external stakeholders. You will move quickly, work independently, and help across teams to meet site needs.

You will also mentor students and participate in learning communities, contributing to a positive educational environment in Year Up United’s New York location.

Qualifications

• 1–2 years of office experience and comfort in a fast-paced environment.
• Strong organizational and time-management skills with attention to detail.
• Excellent written and verbal communication abilities.
• Proficient in MS Office and basic finance/budget processes.
• Ability to work independently and collaboratively across teams.

Responsibilities

• Maintain external vendor relationships and coordination with staff.
• Create and improve office systems and processes across teams.
• Oversee facilities, supplies, and emergency procedures.
• Process staff expense reports in Concur and code to GL segments.
• Support site technology infra with National IT Team and arrange staff logistics.
• Provide admin support to the Executive Director and assist meetings.
• Contribute to project support and special assignments as needed.
• Mentor and engage with students as part of Year Up United activities.
