Job summary

Limitless Advisor Coaching is seeking an experienced operations leader to design and implement end-to-end systems that scale with growth. You will own day-to-day operations, oversee programs and billing, and drive AI-driven efficiency across marketing, enrollment, and finance.

You will personally execute critical operational work, build workflows, and partner with the CEO to create a scalable operating platform in a remote-friendly, fast-moving environment.

Limitless Advisor is a growing, entrepreneurial consulting and coaching company looking for an experienced, hands-on operations leader who knows how to turn a founder's vision into a well-run, highly efficient, scalable business.

This isn't a big-company management role where you oversee departments, delegate projects, and manage existing systems. We're a lean team, and we need someone who can both design the operating infrastructure and build, implement, manage, and improve it.

That means knowing how to connect the dots across the entire business, from CRM and marketing automation to enrollment, billing, financial controls, team workflows, reporting, and the member experience. You'll need to understand how these pieces work together, identify what's missing, and have the technical and operational skills to make them work better.

We're especially interested in someone who has already done this in a small or growing business, ideally leveraging platforms like HubSpot, Asana, Stripe, Zapier/Make, and increasingly AI to replace manual work, eliminate friction, improve execution, and create capacity for growth.

THE OPPORTUNITY

You'll own the day-to-day operational excellence of our business while helping build the systems, processes, and technology infrastructure for our next stage of growth.

You'll oversee operations across our programs, people, platforms, marketing execution, and financial administration, ensuring the business runs smoothly, accurately, and efficiently.

You'll also help us harness AI, automation, and technology to work smarter, improve the member experience, and scale without unnecessary complexity or headcount.

This is a hands-on management role in a growing, entrepreneurial company. You'll lead people and projects, but you'll also personally execute important operational work, solve problems, ensure operational excellence, and work closely with the CEO to build out our next level operating platform.

WHAT YOU'LL OWN

Business Operations & Execution

• Own day-to-day business operations, ensuring processes, systems, and workflows run reliably and efficiently.
• Translate leadership priorities into actionable plans, clear ownership, and measurable outcomes.
• Oversee member enrollment, onboarding, renewals, billing, and program administration.
• Personally review critical operational details, including monthly member billing accuracy, payment processing, and financial reporting.
• Identify bottlenecks, solve problems, and continuously improve how work gets done.
• Manage operational priorities, team accountability, and execution across functions.
• Lead optimization and integration of our technology ecosystem, including HubSpot, Asana, Stripe, Zapier/Make, and related platforms.
• Personally design, build, implement, and improve integrated workflows and operational systems.
• Identify and implement practical AI and automation solutions that reduce manual work and improve quality, speed, and scalability.
• Build reliable workflows, reporting, dashboards, and operational controls.
• Troubleshoot systems and integrations directly, working with external specialists when appropriate.
• Evaluate emerging technologies and translate their potential into practical business improvements.

Marketing Operations

• Own the operational and technical execution of marketing initiatives in partnership with our marketing team.
• Build, manage, and optimize email campaigns, funnels, landing pages, webinar registrations, and related workflows.
• Oversee HubSpot automation, segmentation, integrations, data integrity, and reporting.
• Ensure campaigns launch accurately, on time, and with reliable tracking.
• Improve the efficiency and scalability of marketing execution and enrollment processes.

People, Projects & Performance

• Manage and develop operational team members and contractors.
• Establish clear responsibilities, priorities, expectations, and accountability.
• Lead cross-functional projects from planning through implementation.
• Maintain operating procedures, documentation, and quality standards.
• Provide visibility into operational performance, risks, and improvement opportunities.

WHAT YOU BRING

Required Experience

• Demonstrated success owning and improving business-wide operations in a small or midsize entrepreneurial company.
• Direct, hands-on experience building, implementing, and managing interconnected business systems and operational processes.
• Strong technical fluency with CRM platforms, workflow automation, and integrated business systems.
• Experience personally implementing AI and automation to improve business performance.
• Hands-on experience with marketing operations, including email campaigns, funnels, CRM workflows, and reporting.
• Experience managing people, projects, priorities, and cross-functional execution.
• Strong financial and operational discipline, with excellent attention to detail.
• A track record of measurable improvements in operational efficiency, scalability, execution, or business performance.

• Base salary: $90,000–$115,000, depending on experience and capabilities.
• Performance bonus: Up to 10% of base salary.
• Profit sharing: Additional opportunity to participate in company success.
• Paid time off: Two weeks in year one; three weeks beginning in year two, plus three flex days.
• Additional time off: Additional 10-12 days per year with company closures (3 day weekends are 4 days, 3 flex days and closed at Winter Break). Benefits: Medical benefits and well-being allowance.
