Position Summary

The Operations Manager is responsible for leading the daily operations of the dental practice, ensuring that clinical and administrative teams work collaboratively to achieve productivity goals, optimize patient flow, and deliver an exceptional patient experience.

This individual partners closely with the practice owner and department leaders to implement strategic initiatives, improve operational performance, support team development, and create a positive culture focused on service, growth, and continuous improvement.

The successful candidate is a proactive leader who can balance operational execution with long-term planning while maintaining a strong commitment to patient satisfaction and team engagement.

Key Responsibilities
  • Oversee the daily operations of the dental practice to ensure efficiency, consistency, and high-quality service delivery.
  • Develop and implement operational strategies that support practice growth and long-term success.
  • Monitor workflow, patient scheduling, staffing needs, and resource utilization to maximize productivity.
  • Identify operational challenges and proactively implement solutions that improve efficiency and outcomes.
  • Ensure the office environment remains professional, organized, welcoming, and aligned with practice standards.
  • Coordinate facility maintenance, equipment functionality, and technology performance to support uninterrupted operations.
  • Manage vendor relationships and support purchasing, inventory control, and supply management activities.
  • Champion a patient-centered culture focused on exceptional service and relationship building.
  • Ensure every patient interaction reflects the practice's commitment to quality care and hospitality.
  • Address and resolve patient concerns professionally and effectively.
  • Continuously evaluate and enhance the patient journey to improve satisfaction, loyalty, and retention.
  • Collaborate with team members to create systems that support a seamless and positive patient experience.
  • Partner with leadership to establish operational priorities that support production, growth, and profitability goals.
  • Analyze operational and financial trends to identify opportunities for improvement.
  • Monitor business performance and support initiatives that increase efficiency, patient acquisition, and retention.
  • Lead process improvement efforts that enhance productivity while maintaining exceptional service standards.
  • Support the implementation of growth initiatives, marketing campaigns, and patient engagement strategies.
  • Lead, coach, and support department leaders and team members to achieve high levels of performance and engagement.
  • Foster a culture of accountability, collaboration, professionalism, and continuous improvement.
  • Conduct regular team meetings to communicate priorities, celebrate successes, and address opportunities.
  • Provide performance coaching, development guidance, and leadership support to managers and supervisors.
  • Promote employee engagement and reinforce organizational values throughout the practice.
  • Collaborate with practice leadership to execute strategic initiatives and growth plans.
  • Participate in business planning and operational decision-making processes.
  • Lead special projects and organizational improvement initiatives.
  • Ensure alignment between operational execution and the long-term vision of the practice.
Qualifications
Education
  • Bachelor’s degree in business administration, Healthcare Administration, Management, Hospitality Management, or a related field preferred.
  • Equivalent combination of education and relevant experience may be considered.
Experience
  • Minimum of Five (5) years of progressive leadership experience in healthcare, dental practice management, medical office management, hospitality, or a related service-focused industry.
  • Experience leading multidisciplinary teams and managing daily operations.
  • Demonstrated success in improving operational performance, service quality, and team effectiveness.
  • Experience within a dental practice environment is strongly preferred.
