Job summary

CitySeed is seeking an Operations Manager to coordinate day-to-day operations of the organization’s building and grounds, workspaces, vehicles, technology, and safety practices. You will manage vendor relationships, coordinate space usage and rentals, and maintain a safe, welcoming environment for staff, participants, and tenants.

This is a hands-on, in-person, manager-level role at a rapidly scaling organization, with occasional evening or weekend availability to support events and address

Qualifications

  • Associate's or Bachelor's degree preferred, or equivalent combination of education and experience.
  • At least 3 years of experience in operations, administration, IT, facilities, or a related field.
  • At least 1 year of non-profit experience preferred.
  • Demonstrated experience managing office systems, vendor relationships, and administrative processes.

Responsibilities

  • Maintain a well-organized and functional hybrid workspace with clear shared-space protocols.
  • Serve as the main contact for workspace systems, supplies, access, and organization.
  • Oversee safety and cleanliness of interior/exterior areas and cleaning services.
  • Coordinate furniture, AV, and climate-control setup for meetings and events.
  • Manage day-to-day operations of CitySeed's building at 162 James Street and program sites.
  • Maintain building security, alarms, codes, and access control; liaise with vendors.
  • Draft and administer lease agreements for tenants and manage rental relationships.
  • Develop and manage the annual facilities budget with leadership.

Job description

CitySeed creates opportunity and expands access across our local food system, from field to shelf. We operate farmers markets, incubate food businesses, train aspiring chefs for culinary careers, operate a food service social enterprise, and facilitate wholesale farm-to-institution procurement. The Operations Manager will coordinate day-to-day operations of the organization’s building and grounds, workspaces, vehicles, technology, and safety practices. This role manages vendor relationships, coordinates space utilization and rentals, and maintains a safe, functional, and welcoming environment for staff, program participants, and tenants. This is a hands‑on, in‑person, manager‑level position at a rapidly scaling organization, with occasional evening or weekend availability required to support events and address building emergencies.

RESPONSIBILITIES
Workspace Maintenance
  • Maintain a well-organized and functional hybrid workspace, with clear protocols for shared spaces
  • Serve as the main point of contact for workspace office systems, including supplies, building access, and organization
  • Manage day-to-day safety and cleanliness of interior and exterior areas, including offices, conference rooms, and exterior lot, with oversight of interior and exterior cleaning services
  • Order and maintain inventory for office and building supplies
  • Coordinate furniture, AV, and heating/cooling setup and breakdown for internal and external meetings and events
  • Coordinate periodic reviews of shared storage and workspace areas, and implement improvements
Facility and Fleet Management
  • Maintain day-to-day operations of 162 James Street and liaise with facilities staff at two program sites to support program operations
  • Oversee a preventative maintenance schedule for building mechanicals and schedule routine inspections
  • Manage building systems vendors for regular service and emergency repairs
  • Maintain fire and security alarms, including monitoring, testing, and managing codes and access, coordinating with vendors for service and repairs, and continuously improving building safety and security
  • Manage CitySeed's vehicle fleet based on recommended maintenance schedules
  • Complete light-duty repairs and installation (e.g. mounting fixtures, patching, small equipment installs) and coordinate with contractors for larger jobs
  • Prepare facilities for changing weather conditions and address weather-related facility needs
  • Install and maintain interior and exterior building signage
  • Coordinate all permits and annual certifications necessary for building occupancy and operation
  • Draft and administer lease agreements for long-term tenants and short-term rentals, and manage relationships with and maintenance requests from tenants and renters
  • Develop and manage the annual facilities budget in collaboration with CitySeed leadership
Technology and Administrative Systems
  • Serve as main point of contact for hardware and software equipment inventory management, maintenance, and troubleshooting, including IT service and support
  • Track and maintain hardware, software, and technology needs, including phones, printers, and wifi, and research solutions as needs change
  • Maintain communication systems, including phones, email, and internet, in optimal working order
  • Provide building and IT support for staff onboarding and offboarding, e.g. building access, workspace setup, and technology setup and return
  • Manage info@cityseed.org email account
  • Support regulatory compliance filings and deadlines, and maintain centralized compliance documentation
QUALIFICATIONS
  • Associate's or Bachelor's degree preferred, or equivalent combination of education and experience
  • At least 3 years of experience in operations, administration, IT, facilities, or a related field
  • At least 1 year of non-profit experience preferred
  • Demonstrated experience managing office systems, vendor relationships, and administrative processes
  • Strong organizational skills and ability to manage multiple projects and priorities simultaneously
  • Comfortable with hands‑on work and able to perform light physical tasks related to office and facilities upkeep
  • Excellent communication skills and ability to collaborate with a wide range of staff, vendors, and tenants
  • Valid driver's license and ability to travel locally
  • Availability for occasional evening or weekend work to support events or address building emergencies
PHYSICAL REQUIREMENTS
  • Ability to lift and carry up to 50 lbs (e.g., supplies, equipment, furniture)
  • Ability to climb ladders and reach overhead to install signage, fixtures, and equipment
  • Ability to stand, bend, kneel, and move throughout the building and grounds for extended periods
  • Ability to perform light manual repair work (e.g., painting, patching, mounting, minor installations)
COMPENSATION & BENEFITS

Salary range: $50,000 - $55,000, commensurate with experience. CitySeed offers 401(k) matching, dental and vision insurance, Dependent Care FSA, long term disability coverage, and life insurance.
