Job summary

Merrimack College is hiring for an on-campus office administrator to support 9 administrators and 70+ student staff. The role includes triaging calls, scheduling, payroll for student workers, vendor contracts, and front-office management to deliver excellent service to students, parents, and staff.

The successful candidate will have a Bachelor’s degree, strong communication skills, and a calm, organized approach to handling competing priorities in a residential college setting near Boston, MA.

Qualifications

  • Bachelor’s Degree required.
  • Computer skills including Google Sheets and Google Docs.
  • Strong interpersonal and communication skills.
  • Ability to juggle competing demands in a calm and friendly manner.

Responsibilities

  • Maintain daily operation of the office; schedule meetings, answer emails, oversee guest registration, and send weekend updates.
  • Triage phone calls from parents, students, staff and visitors and route to appropriate staff; provide answers when possible.
  • Maintain budget processes: payroll for students, receipts, payment vouchers, PO's, p-card transactions, programming ordering.
  • Manage contracts for departments with vendors for furniture replacement, movers, programming, laundry, openings/closings, etc.
  • Respond to Residence Life emails; assist with My Mack pages and Residence Life website.
  • Hire, train and supervise student workers to ensure front office runs smoothly and provides strong customer service.
  • Create and maintain relationships with campus partners such as student accounts, Mackforce, and the Division of Student Affairs.
  • Support major department and divisional projects like RA selection and housing processes; RA training, openings/closings, events.
  • Participate in weekly staff meetings and perform other duties as assigned.

Position Overview

Maintain an organizedand service oriented office for students, parents and staff;provide support to 9 administrators; 70+ student staff members;triage phone calls and visitors from departments, parents andstudents while balancing administrative and operationaltasks.

Primary Responsibilities
  • Maintain daily operation of the office; schedule meetings,answering emails, oversight of the guest registration, and sendingweekend updates.
  • Triage phone calls from parents, students, staff and visitorsto send to appropriate staff; often provide answer without needingto pass call along to someone else; answer Residence LifeVoicemails
  • Maintain budget process – payroll for students, receipts,payment vouchers, purchase orders, p-card transactions, programmingordering, etc.
  • Manage contracts for the departments such as vendors needed forfurniture replacement, movers, programming, laundry,opening/closings, etc
  • Respond to emails from res life email account; provideassistance with My Mack pages and Residence Life website
  • Hire, train and, supervise student workers to ensure that thefront office is running smoothly and providing strong customerservice

This is an on-campus position asemployees are essential in order to provide a fully on-campus,residential college experience for our students and thecommunity. This position is subject to the successful completion of a criminalbackground check.
