Job Description
POSITION SUMMARY
TheOperations Manager is the firm’s operational hub, ensuring seamlessday-to-day operations, consistent administrative processes, andexceptional client and employee experience. This role overseesoffice operations, client onboarding, workflow coordination, billingadministration, technology systems, and internal business supportwhile partnering closely with leadership to advance strategicinitiatives and maintain the organized, responsive environment thatdefines the firm’s service.
Position is in-office, either in Ketchum, Idaho or Enteprise, Oregon.
KEY RESPONSIBILITIES
- Managedaily office operations to keep the workplace organized,productive, and efficient.
- Serveas the first point of contact for clients, visitors, prospects,and incoming communications.
- Ownand improve client onboarding, including engagement letters,intake, document collection, portal setup, and communicationworkflows.
- Coordinatecalendars, meetings, appointments, schedules, and firm events.
- Maintainfirm records, client files, confidential documents, andadministrative systems in line with policies andrequirements.
- Trackworkflow systems and administrative deadlines to support projectvisibility, capacity planning, and resource needs.
- Supportteams with project administration, workflow coordination, documentprocessing, and deadline tracking.
- Serveas administrator or key user for practice management, documentmanagement, client portal, workflow, and operational technologyplatforms.
- Coordinatewith external vendors, consultants, and providers for technology,facilities, and office support.
- Overseeoffice supplies, equipment, facilities, vendors, and generalworkplace operations.
- Assistwith invoicing, billing, accounts receivable follow-up, paymentprocessing, collections support, and related financialadministration.
- Monitoradministrative budgets, vendor contracts, subscriptions, andoperating expenses.
- Supportemployee orientation and ensure new team members have the toolsand resources needed to succeed.
- Develop,document, and improve office procedures, administrative workflows,and operational best practices.
- Supportleadership with special projects, strategic initiatives, andoperational improvements.
- Promotecompliance with firm policies, confidentiality, data security, andoperational standards.

REQUIRED QUALIFICATIONS
- Bachelor’sdegree in business administration, accounting,management, communications, or related fieldpreferred; equivalent experience considered.
- 3+years of progressive experience in office operations,professional services administration, officemanagement, or business operations; 5+ years preferred.
- Provenability to manage competing priorities in adeadline-driven environment.
- Trustedto handle confidential information with discretionand professionalism.
- Experiencecoordinating projects, workflows, deadlines, andadministrative processes.
- Strongtechnology skills, including Microsoft Office andcloud-based business software; ability to learn andadminister practice management, workflow, and documentmanagement systems.
PREFERRED QUALIFICATIONS
- Experienceworking in a CPA firm, tax practice, accounting firm,financial advisory firm, or other professionalservices organization.
- Experiencewith billing, bookkeeping, payroll coordination,vendor relationships, or related financialadministrative functions.
