Position Summary

We are seeking a thoughtful, highly capable Business Operations Manager to help lead the business side of our residential interior design firm. This role is central to the health and success of the organization, with a strong focus on financial accountability, operational excellence, systems management, technology leadership, and client relationship support. The ideal candidate is organized, analytical, solution-oriented, and excited by the opportunity to improve how a growing firm operates.

Working closely with the Principal, this role helps ensure the firm runs smoothly, accurately, and efficiently. The Business Operations Manager will oversee core business operations with particular emphasis on financial administration, process oversight, business systems management, office technology leadership, client onboarding, and business development support.

This position will also play an important role in helping the firm continue to modernize its operations, including strengthening internal systems, supporting the thoughtful adoption of AI-enabled tools, and serving as a key non-design point of contact for clients.

Key Responsibilities

• Lead core business operations and administrative processes across the firm.
• Oversee day-to-day financial administration, including billing, reconciliations, payables, receivables, and reporting support.
• Help ensure accurate and consistent use of firm systems, software, and operational processes.
• Prepare and review project profitability and operational reports for leadership.
• Identify and implement process improvements that increase efficiency, consistency, and accountability.
• Lead office technology and systems improvements, including implementation, optimization, and stabilization of business tools.
• Help guide the firm's evolving use of AI-enabled solutions to support operational excellence and future growth.
• Support development of new business opportunities, including cultivating relationships with prospective partners, builders, and other referral sources.
• Lead new client onboarding, including contracts, payments, administrative communications, and ongoing client support outside of design services.
• Serve as a key point of contact for clients on business and administrative matters, helping strengthen the overall client experience.
• Support hiring, onboarding, employment documentation, and other day-to-day HR responsibilities across the firm.
• Contribute to select marketing and business support initiatives as needed.

Qualifications

• 5+ years of experience in business operations, operations management, financial administration, or a related leadership role preferred.
• Strong experience with billing, reconciliations, financial reporting support, accounts payable, and accounts receivable.
• Experience improving business processes, implementing systems, and leading operational change.
• Experience supporting client onboarding, business development activities, or client relationship management is a plus.
• Strong technology skills and comfort learning, managing, and optimizing business software.
• Interest in emerging technologies and AI tools that improve operations and productivity.
• Excellent organizational, analytical, and communication skills.
• Experience in residential interior design, professional services, or another project-based business preferred.
