Job summary

College of Charleston seeks an Operations Manager to oversee clerical and administrative functions for the Dean of Students Office. You will coordinate the operation, supervise student staff, and manage reports, schedules, and interactions with campus stakeholders to ensure efficient service delivery.

You will monitor FERPA compliance and support programming initiatives while assisting the AVP for Student Well-being and the Dean of Students. Evening/weekend coverage may be required.

Qualifications

  • Bachelor’s degree plus two years of applicable experience required. Master’s degree may be substituted and is preferred.
  • Familiarity with FERPA is preferred.
  • Training/experience in higher education is preferred, especially within an Office of the Dean of Students or Residence Life/Housing with crisis response.

Job Purpose | The Operations Manager in the Office of the Dean of Students is responsible for the coordination, implementation, and supervision of all clerical and administrative functions of the department while also providing coordination and oversight for the presence and direction of programming initiatives for the department. Maintains schedules and supervision over student employment for the department. Prepares reports and documents as needed to assist the Assistant Vice President for Student Well-being and Dean of Students. Manages fiscal/budgeting tasks (e.g. purchase orders, budget transfers, etc.).

Job Purpose | Serves as first point of contact for stakeholders to provide information on departmental services. Monitors incoming departmental emails, walk-in needs, and phone communication to appropriately delegate case resolutions to the overall Office of the Dean of Students team. Monitors incoming FAST reports and ongoing communication related to open Student of Concern Cases and provides updates as needed. Assumes a high level of responsibility for the operation and management of processes within the Office of the Dean of Students while also representing the Division of Student Affairs and the Office of the Executive Vice President of Student Affairs.

Minimum Requirements | Bachelor’s degree plus two years of applicable experience is required. Master’s degree may be substituted, and is preferred. Training/experience working in a higher education environment is preferred, specifically within an Office of the Dean of Students or within a Residence Life/Housing department trained in crisis response. Familiarity with FERPA is preferred. Candidates with an equivalent combination of experience and/or education are encouraged to apply.

Required Knowledge, Skills and Abilities | Ability to effectively communicate orally, in writing and electronically. Must be able to use routine office equipment. Knowledge of Microsoft Office, database management, student information systems (e.g., BANNER, Maxient), report preparation and analysis highly desirable. Knowledge of web-authoring programs desirable. Must be able to produce high volume of work accurately and be able to handle stressful situations smoothly. Must be capable of exercising good judgment, discretion, and problem solving with interpreting and administering policies and procedures.. Ability to supervise and direct student employees is essential.

Additional Comments Regarding Position | As part of the on-call rotation, must be able to respond to incidents after hours. May be required to attend evening and weekend College functions.

Job Duties

Activity | Coordinates complex administrative, office management, and department support activities, including administrative activities related to triaging urgent concerns funneled to the office for student support in a manner that is in line with the overarching goals/needs of the Office of the Dean of Students. Directs office operations to ensure that support needs of the staff members are met. Provides a high level of customer service for students, faculty, staff and families who have routine inquiries about the Office and the College or who need routing to another departmental staff member for resolution. Monitors reports that are submitted to the Office to have an awareness of the overlap of reports with outreach directed towards the department. Ensures compliance with laws and regulations, including FERPA. Interprets and applies departmental policies and procedures. Trains other staff on office procedures. Serves as point person for technological needs of department, including updating departmental web pages and publications as needed.

Activity | Makes departmental purchases, utilizing signature authority for routine supplies and equipment procurement. Reconciles budget and expenditures to ensure accuracy. Oversees applicable budget and ensures fiscal responsibility in the employment of student employees and strategic planning of programmatic efforts. Serves as departmental liaison for ensuring the organization of ODOS’s participation in campus orientations.

Activity | Coordinates notifications within the honor system as needed. Oversees the completion of certain functions of the Office through delegation and completion oversight to others, including, but not limited to, Dean’s Certifications, “Vice” and Livability Court lists, Maxient database reports, appeal process documentation, registration holds, sanctioning case updates, etc. Maintains records and ensures accurate data entry and tracking. Recommends registration holds and other actions to the Dean for non-compliant students. Maintains compliance with FERPA regulations pertaining to all relevant information and trains student employees on FERPA regulations.

Activity | Oversees implementation of emergency preparedness protocols. Serves Office of the Dean of Students as emergency manager for office equipment and records. Manages the office supply inventory. Serves as a point of contact for students and families in crisis and connects these individuals with appropriate staff members and emergency resources through the use of triage crisis response skills. Attends meetings and participates in other committees as assigned.
