Job summary

ADVANZ PHARMA in Chicago is seeking an Operations Specialist to support pharmaceutical operations, logistics, inventory management, and procurement across the US business in a regulated environment.

You will manage equipment, shipments, supplier relations, and ERP processes, ensure traceability, and collaborate with internal teams. Minimum 2 years in related ops; degree advantageous. Attractive salary and benefits offered.

  • Experience in regulated environments such as pharmaceuticals, medical devices, healthcare, manufacturing, or other compliance-driven industries.
  • Experience in logistics, inventory control, supply chain, warehouse operations, fulfilment, or operational coordination.
  • Ability to safely lift, move, and pack equipment weighing 40-80 lbs.
  • Experience using ERP systems, with SAP experience (advantageous).
  • Strong Microsoft 365 skills including Excel, Outlook, Teams, PowerPoint, and Word.

Responsibilities

  • Manage inventory, tracking, and deployment of specialised medical devices, equipment, and patient kits.
  • Coordinate time-critical shipments to hospitals, clinics, customers, and commercial teams.
  • Manage purchase orders, supplier relationships, and inventory replenishment activities.
  • Support SAP and ERP-based operational processes and transactions.
  • Maintain accurate records and ensure compliance with SOPs, traceability requirements, and operational procedures.
  • Coordinate equipment calibration schedules and support compliance activities within a regulated environment.
  • Perform quality checks and verification activities for incoming and outgoing equipment and supplies.
  • Support logistics for conferences, trade shows, National Sales Meetings, and customer-facing events.
  • Manage distribution of marketing and commercial materials to support the field sales team.
  • Build strong working relationships with vendors, customers, and internal stakeholders.
  • Safely pack, move, and ship equipment weighing up to 80 lbs.
  • Thrive in an entrepreneurial environment and take accountability for results.
  • Have a bias for action and fast decision making.

About the Role

This is a varied, hands-on role supporting pharmaceutical operations, logistics, inventory management, procurement, compliance, and commercial activities across the US business. Working within a regulated environment, you will play a key role in ensuring that medical devices, patient kits, and customer shipments are managed accurately, safely, and on time.

This opportunity is ideal for someone who enjoys taking ownership, working independently, and managing a broad range of operational activities in a fast-paced environment.

What You'll Do:

About You

For this role, you will also have the following:

Qualifications:

  • High School Diploma or equivalent with a minimum of 2 years of relevant operational experience.
  • Associate or Bachelor's degree in Supply Chain Management, Operations, Business Administration, or a related field is (advantageous)

Knowledge, Skills & Experience:

  • Experience working within a regulated environment, such as pharmaceuticals, medical devices, healthcare, manufacturing, food, beverage, or other compliance-driven industries.
  • Experience in logistics, inventory control, supply chain, warehouse operations, fulfilment, or operational coordination.
  • Ability to safely lift, move, and pack equipment weighing 40-80 lbs.
  • Ability to work independently and confidently manage responsibilities with limited day-to-day supervision.
  • Experience using ERP systems, with SAP experience (advantageous)
  • Experience managing vendors, purchase orders, shipments, or inventory processes. (advantageous)
  • Strong Microsoft 365 skills including Excel, Outlook, Teams, PowerPoint, and Word.
  • Strong organisational skills with excellent attention to detail.
  • Effective communication and relationship-building skills.
  • A positive and 'can-do' approach, biased towards finding solutions and embracing change.

$46,750 - $57,750

Our salary range reflects the full scope of the role and level, it has been set using objective, gender-neutral criteria. Final offers to successful candidates are determined based on factors throughout the recruitment process such as relevant experience, skills, market benchmarks, and equitable internal compensation practices.

Bonus:

Annual Bonus Plan: 20% of base salary

Annual bonus is paid once per year, in accordance with local legislation and subject to company and individual performance.
