Job summary

Allen Control Systems is seeking an Office Manager in Mountain View, CA to create a smooth, efficient workplace. You will be a key operational partner for office and administrative functions, shaping culture, productivity, and employee experience in a growing manufacturing environment.

You will implement systems to reduce friction, coordinate cross-functional workflows, and support onboarding, events, and office expansions.

Qualifications

• 7+ years of experience in office management or similar roles in fast-paced environments.
• Experience supporting manufacturing or defense contractors is strongly preferred.
• Proactive, detail-oriented with excellent follow-through and communication.

Responsibilities

• Implement systems and workflows to streamline office operations and vendor relations.
• Coordinate with Finance, HR, Security, Facilities, and Manufacturing for office needs.
• Assist onboarding of in-person staff, set up desks and equipment, plan travel and relocation.
• Coordinate daily catering and plan monthly events to boost team cohesion and industry visibility.
• Manage office buildouts and expansions with contractors and internal teams; troubleshoot issues.
• Maintain accurate, timely administration records and anticipate needs in a fast-growing environment.
