Job summary

ChildServe in Ames, IA is seeking a part-time Operations Coordinator to organize schedules and support day-to-day operations across outpatient service areas. The role is based at the Ames clinic and requires the ability to manage multiple tasks with accuracy, under minimal supervision.

Responsibilities include data entry, coordinating with insurance and intake teams, and communicating schedule changes to clients and providers.

Qualifications

  • H.S. Degree or GED equivalent preferred; some college preferred.
  • One year office/ administrative experience including customer service preferred.
  • Knowledge of adaptive medical equipment preferred.
  • Ability to work effectively, accurately, and efficiently with frequent interruptions.
  • Ability to communicate effectively and professionally with others, both verbally and in writing, and foster effective relationships with co-workers, families, and 3rd parties.
  • Computer skills; specifically, Microsoft Office and experience using an electronic health record system.
  • Maintain positive working relationships and demonstrate sensitivity to, and respect for, a diverse population.
  • Must exercise confidentiality regarding the affairs of clients, staff, their families, and ChildServe.
  • Ability to interpret and follow applicable policies, procedures, and regulations.
  • Ability to communicate in English effectively for understanding, in writing and verbally.

  • Complete data entry to collaborate with insurance and authorization team and the intake team.
  • Coordinate with clients and providers to schedule new and re-schedule client’s regular appointments to meet physician orders within insurance parameters.
  • Communicate schedule changes and reschedule needs to clients and providers.
  • Collaborate with other services and community supports to schedule specialty services and cover openings due to provider absences, illness, or vacations.
  • Check in new clients and ensure new patient packet is completed.
  • Schedule interpreters as needed.

Job description

ChildServe is hiring a part-time Operations Coordinator who is organized, efficient, and passionate about providing excellent customer service. This position will coordinate schedules and support day-to-day operations across our outpatient service areas. This Operations Coordinator position will be based at our Ames clinic.
Schedule
  • Part-Time, ~20 hours per week
  • Flexible schedule between the hours of 8am-6pm Monday-Friday
What You'll Do
  • Assure accurate, timely, and complete schedule information is entered and maintained in the practice management system.
  • Complete data entry to collaborate with insurance and authorization team and the intake team.
  • Coordinate with clients and providers to schedule new and re-schedule client’s regular appointments to ensure the client meets frequency/ duration per physician orders, within insurance parameters while scheduling to expected provider efficiency.
  • Communicate schedule changes and reschedule needs to clients and providers.
  • Collaborate with other services and community supports to schedule specialty services. Manage schedules to cover open services resulting from provider absences, illness, and vacations.
  • Check in new clients and assure new patient packet is completed.
