Job summary

Child Serve is seeking an Operations Coordinator to support our Residential Group Homes with 24-hour pediatric care services. The role focuses on schedule management, billing and authorizations, utilization, and file management to ensure smooth program operations.

Responsibilities include coordinating with CareVoyant, SETWorks, and Central Reach, maintaining accurate schedules, and producing timely departmental reports.

Qualifications

• High school diploma or equivalent; associate or bachelor preferred.
• At least one year of office/administrative experience.
• Ability to read, write, and speak English clearly.
• Ability to maintain confidentiality of clients and staff information.

• Effectively manage systems used by departments (CareVoyant, SETWorks, Central Reach) including intake, discharge, payroll, reporting.
• Ensure staff schedules are complete; coordinate with services and families.
• Oversee billing, utilization, and authorizations; back up prior authorization processes.
• Oversee file management: chart reviews, scanning, updating packets.
• Manage ordering, tracking, and supplies/equipment needs within programs.
• Prepare departmental reports accurately and timely.

Job description

Child Serve has an opening for an Operations Coordinator to support our Residential Group Homes service. Our group homes offer 24-hour support and specialized nursing care for a pediatric to young adult population. Responsibilities will include schedule management, billing and authorizations, utilization and file management.

Schedule

Monday - Friday, general business hours

What You’ll Do

• Effectively manage systems utilized by departments including CareVoyant, SETWorks, and Central Reach, including intake, discharge, payroll, reporting
• Ensure staff schedule is completed accurately and timely. Collaborate with other services and families to schedule. Manage schedules to cover open services resulting from provider absences, illness, and vacation.
• Ensure billing is completed and processed. Oversee billing reports, utilization and supervision reports. Monitor authorizations and provide back up for the prior authorization/reauthorization process.
• Oversee file management, including quality assurance chart reviews, scanning, and updating annual packets.
• Ensure competition of ordering, tracking and managing supplies, and equipment needs within each program.
• Prepare departmental reports accurately and timely.

What You’ll Need

• High school diploma/equivalent required; Associates or Bachelors preferred
• At least one year experience in an office/administrative setting, preferred
• Ability to communicate effectively in reading, writing, and speaking the English language.
• Ability to exercise confidentiality regarding the affairs of clients, staff, their families and children
