Job summary

Care For The Homeless is seeking an Operations Coordinator to work with the Shelter Director to oversee the facility's operations, safety, and maintenance.

You will supervise facility staff, coordinate with external vendors, manage inventory, ensure OSHA and related regulations, and provide on-call coverage for emergencies. Strong organization and compliance focus are essential to succeed in this role.

Qualifications

  • 3-7 years facilities management experience, preferably in a residential facility.
  • Fire Safety Certification is a Plus.
  • OSHA Certification preferred
  • Valid Driver License, if authorized to drive agency vehicle
  • Knowledge of operating related equipment, tools, and materials used in the facility
  • Knowledge of city, state, and federal building codes and industry standards
  • Proficiency in software applications, including word processing, spreadsheets, and databases
  • Commitment to the mission of Care for The Homeless
  • Proven ability to work collaboratively with diverse groups
  • Proven ability to handle multiple tasks effectively under pressure

Responsibilities

  • Responsible for all Facility and other assigned programs and/or areas.
  • Provides the operational supervision of facility staff, other assigned programs staff, and oversees external vendors.
  • Responsible for securing coverage for all shifts when needed.
  • Coordinate and ensure the implementation of all OSHA, DHS, OTDA regulations and guidelines.
  • Identify and ensure adequate resources are assigned to program/projects to achieve goals.
  • Provide On-Call coverage 24/7 for emergency and crisis intervention.
  • Develop operations goals and policies, and implement changes to standards and procedures.
  • Manage facilities inventory and procurement processes.
  • Perform monthly walk-throughs to inspect operations at all facilities.

Job description

JOB SUMMARY:

TheOperationsCoordinatorwillwork in cooperation,and directly in conjunction withtheShelterDirector;to coordinate and ensure the overall operational, safety, and maintenance ofthe shelterfacility.

Operations Coordinator is responsible for, but not limited to:

  • Responsible for all Facilityand other assigned programsand/or areas
  • Provides the operational supervision of facility staff,other assigned programs staff, and overseesexternal vendors
  • Responsible for securing coverage for all shifts when needed.
  • CollaboratewithShelterDirector to ensure goals are met according to contractual obligations
  • Workwith senior management forinitial/renewal programmatic reports and/or proposals
  • Coordinates inventory procurement,controland expenditures procedures
  • Coordinate and ensure the implementation of all Occupational Safety and Health Administration (OSHA), DHS, OTDA regulations and guidelines, including Universal Precautions Policies and Procedures
  • Identifyand ensure adequate andappropriate resourcesare assigned to program/projects to ensurethe program/project design is controlled, and goals are achieved
  • Provide On-Callcoverage-24/7for emergency andcrisis interventionregardingall aspects ofoperations-related systems
  • Developing operations goals andobjectives, and policies and procedures, and implementingchanges to existing standards, policies, and procedures
  • Designing and delegating preventative/scheduled operations activities
  • Managing the collection, presentation, and reporting of operations data
  • Maintaining, revising, and updating operations logs, records, and forms
  • Managefacilities inventory and material and supply needs, and oversee thepurchasing process
  • Overseeing the internal and external operations-related systems, tests, and inspections
  • Performing monthly walk-throughs to inspect operations at all facilities, including all majorbuilding systems
  • Maintain all recordsregardingcompliance with City and State regulations, including NYS section 491 regulations
  • Ensuring regulatory compliance and that all required licenses and certificates from the Fire
    Department, Buildings Department, Department of Health, and all other pertinent city and stateagencies are current and valid
  • Coordinating and certifying the implementation of allcity, state, and federal building codes and industry standards, including Occupational Safety and Health Administration (OSHA) andUniversal Precautions Policies and Procedures
  • Recruiting, supervising, monitoring, and evaluatingstaffs;ensure theyhavesuccessfullyperformroutine daily, weekly, and periodic tasks
  • Establishing and implementing schedules and work assignments
  • Maintaining awareness ofnew trendsand developments in the fields of safety, residential management, maintenance, food service, and housekeeping, and incorporating new developments into the facilities as appropriate
  • Conducting, attending, andparticipatingin facility and professional group meetingsin order tomaintainand improve professional competence
  • Maintaining ongoing communication with social services concerning operational issues
  • Attend professional meetings, educational conferences, and in-service trainingsin order tomaintainand improve professional competence
  • Managing the collection, presentation, and reporting of dataregardingall activities related to safety and/or infractions.
