Job summary

Capital Consultants Management Corporation in Tucson, AZ, is seeking an Operations Coordinator to support the Community Manager in daily operations for a master-planned community. You will interact with residents, vendors, and the Board to ensure smooth administration, budgeting, and record keeping.

In this role you’ll oversee service contractors, track leased units, manage contracts and invoices, and help with meeting preparation and training for board members, while upholding CCMC's standards

Qualifications

  • Two years of proven career advancement in a professional business environment.
  • Associate’s or Bachelor’s degree or equivalent experience.
  • Detail-oriented with a customer-focused attitude.
  • Ability to multi-task with utmost focus and professionalism.
  • Knowledge of community association management principles, procedures and standards.
  • Have a valid driver’s license and current vehicle liability insurance.
  • Prefer two years of community management

Responsibilities

  • Assist Community Manager in all aspects of daily business and operations to maintain the management direction of the community association
  • Oversee related service contractors and vendors, interact with community residents and volunteers
  • Track leased units within the community
  • Maintains all association records as required by governing documents, federal and state law and CCMC protocol
  • Work with Community Manager to ensure proper documentation of contracts, invoices and other expenses
  • Oversee daily office functions, answering phone, email, and assisting walk-in guests
  • Assist the Community Manager with meeting preparation and administration of annual operating and reserve budgets
  • Assist in new owner orientations and training of Board(s) and committee members
  • Other duties as assigned

About the Community:

Our Operations Coordinator will serve as an integral part of the community and will have significant interaction with the community’s Board of Directors and homeowners. What you’ll accomplish:
  • Assist Community Manager in all aspects of daily business and operations to maintain the management direction of the community association
  • Oversee related service contractors and vendors, interact with community residents and volunteers

What we’re looking for:
  • Two years of proven career advancement in a professional business environment

  • Knowledge of community association management principles, procedures, and standards
  • Have a valid driver’s license and current vehicle liability insurance
  • Prefer two years of community management

If driving is, or becomes, a requirement of the role, it is required, at all times, that you hold a valid state driver’s license for the class of vehicle you are driving, maintain a clean motor vehicle report, and hold current automobile insurance at statutory limits. You must notify Human Resources immediately regarding any change to your motor vehicle standing. CCMC may periodically review motor vehicle reports to ensure compliance with these requirements.

The physical requirements can vary, but generally, they may include:

  • Mobility: Ability to walk the grounds long distances in various weather conditions.
  • Lifting and Carrying: Occasionally lifting and carrying supplies or equipment up to 25 pounds.
  • Extended Sitting or Standing: Capability to sit or stand for extended periods during meetings or events.
  • Manual Dexterity: Skills in using technology, including computers and mobile devices.
  • Driving: Ability to operate vehicle to perform certain job functions. (Please note: We will request and review an MVR at the time of hire and on a periodic basis thereafter to ensure that employees maintain a satisfactory driving status.)
