Position: Project & Operations Coordinator

Reports to: Operations Manager

Your Responsibilities As Project & Operations Coordinator

Primary Focus: Ensure projects are ready, scheduled, and completed efficiently.

Scheduling Conflicts

• Minimal scheduling conflicts.

Project Coordination

• Coordinate project schedules with installers, subcontractors, vendors, and customers.
• Maintain the production calendar and ensure projects stay on schedule.
• Prepare project packets, work orders, change orders, and customer sign-off documents.
• Schedule templates, countertop installations, deliveries, and inspections.
• Coordinate permits and third-party services as required.

Purchasing & Vendor Management

• Monitor lead times and proactively communicate delays.
• Verify incoming deliveries for accuracy and damage.
• Coordinate replacement materials when necessary.
• Manage inventory and local material pickups.

Project Administration

• Maintain accurate project records in ServiceMinder.
• Track project milestones from sold to completed.
• Coordinate punch lists and warranty work.
• Ensure projects are closed promptly and final payments are collected.
• Provide operational reporting to the owner.

Success Measures

• Projects start on schedule.
• Materials arrive before installation.
• Minimal scheduling conflicts.
• Punch lists closed quickly.
• Final payments collected promptly.
