Role Description

We are seeking a highly organized and proactive Operations Coordinator to support our growing team. This role will work closely with the Operations Manager to ensure the smooth day-to-day functioning of the Submissions and Contracts team. The ideal candidate will have a strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

  • Work hand-in-hand with the Operations Manager to streamline internal workflows and implement process improvements.
  • Coordinate and oversee the activities of the Submissions and Contracts team to ensure deadlines and quality standards are met.
  • Track and manage timelines for submissions, contract reviews, and approvals.
  • Maintain accurate documentation and records related to contracts and submissions.
  • Assist in generating reports, maintaining dashboards, and monitoring key performance indicators.
  • Serve as a point of contact between the operations team and other departments.
  • Provide administrative support as needed, including meeting scheduling, note-taking, and follow-ups.

Qualifications:

  • 2+ years of experience in operations, administration, or project coordination.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Experience working with contracts or document submissions a plus.
  • Proficiency with Microsoft Office, Google Workspace, and project management tools (e.g., Asana, Trello, or Monday.com).
  • Ability to work independently and collaboratively in a team environment.
