Job summary

Guidehouse in Bethesda, MD seeks an Operations Coordinator to provide administrative support for a high-volume NIH clinical laboratory. The role is full-time and on-site in Bethesda, requiring a Public Trust clearance.

You will manage timekeeping, travel planning, event scheduling, and serve as a front-line contact for visitors and operations, while handling data entry, reporting, and forms with a professional, service-oriented approach.

Qualifications

  • High School diploma required.
  • Minimum of two years of clerical, administrative, and operations support experience.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and WebEx.
  • Must be able to obtain and maintain a Federal or DoD Public Trust.
  • Candidates with an active Public Trust or existing suitability are preferred.
  • Experience in a clinical or hospital setting is a plus.
  • Knowledge of NIH travel and procurement systems desirable.
  • Excellent communication, analytical, organizational, and time-management skills.
  • Professional interaction with staff at all levels with utmost professionalism.

This is a full-time, on-site opportunity supporting the National Institutes of Health (NIH) in Bethesda, Maryland.What You Will Do:Serve as one of the primary points of contact for visitors and clinical operations; handle requests for information.Assist the Department with organizational tasks (timekeeping, procurement, travel planning, event planning, and meeting scheduling).Maintain conference room calendar.Provide clerical and administrative support and respond to customer needs.Set up, organize, and maintain files and records.Answer calls and route, in order to respond to customers and refer callers to the appropriate subject-matter expert.Enter and retrieve computerized data and prepare correspondence and reports.Complete forms and prepare memoranda and correspondence.Conduct interviews with supervisors and employees to obtain information about organizational missions, function, and work procedures.What You Will Need:High School diploma required.Minimum of two (2) years of experience providing clerical, administrative, and operations support.Expertise with Microsoft Office Suite (MS Word, Excel, Outlook, PowerPoint, WebEx).Must be able to obtain and maintain a Federal or DoD Public Trust. Candidates must receive approved adjudication of their Public Trust prior to onboarding with Guidehouse. Candidates with an active Public Trust or existing suitability are preferred.What Would Be Nice To Have:Associate’s degree preferred. Bachelor’s degree highly desirable.Experience working in a clinical or hospital setting, preferred.Knowledge of NIH travel and procurement systems, desirable.Excellent communications skills, both oral and written.Excellent analytical, organizational and time management skills.Ability to interact with staff of all levels with utmost professionalism.Strong interpersonal skills, an upbeat and “can do” attitude is a must for this opportunity. Candidates must be able to adapt to changing focus quickly and deal with obstacles with a positive approach.The annual salary range for this position is $56,000.00-$94,000.00.
