Job description

Location: Seattle, WA
Job Type: Full-time
Reports to: Director of Client Service Operations
Salary Range:$80,000 - $100,000

The Operations Associate, Client Service sits at the intersection of client service and operations, working directly in support of the Director of Client Service Operations. This role is built for someone who is eager to deepen their understanding of wealth management operations - not just conceptually, but from the ground up. A meaningful part of this role involves developing a deep, working knowledge of how our servicing team operates: how different workflows are executed, how client data flows through our systems, and where the friction points are. That hands-on understanding is what enables this person to do the harder work - designing better processes, maintaining training materials, supporting custodial and CS workflow migrations, and serving as a key operational resource during M&A integrations.

Success in this role requires comfort with ambiguity, a builder's mindset, and the ability to move fluidly between strategic and operational work. If you are the kind of person who is energized by finding a better way to do things and takes ownership in making that happen, this role was designed for you.

Key Responsibilities
Director Support & Special Projects
  • Provide direct support to the Director of Client Service Operations across operational initiatives, with an emphasis on workflow improvement and evaluating new technology solutions
  • Serve as the internal point of contact for custodian-driven projects, coordinating across servicing teams to ensure timely communication and resolution
CSA Knowledge & Operational Execution
  • Develop a thorough, working understanding of the Client Service Associate role - including account opening and maintenance, money movements, custodial communications, and CRM workflows - and execute those tasks on an ad hoc basis as needed
  • Bridge CS execution and process improvement by understanding the operational realities of the servicing team firsthand and applying that knowledge to drive meaningful change
Process Design & Knowledge Management
  • Lead the buildout and ongoing optimization of firm workflows within new and emerging technology platforms, translating existing processes into streamlined, system-native solutions
  • Own all process documentation, training guides, and reference materials for the CS team, proactively identifying and closing gaps where content is missing, outdated, or unclear
M&A Integrations
  • Serve as the primary point of contact for custodial and CS workflow migrations associated with M&A activity, coordinating between internal and external parties and incoming groups to ensure a smooth and organized transition
  • Organize and lead onboarding and training sessions for incoming servicing teams, bringing new members up to speed on firm workflows, systems, and standards
  • Navigates ambiguity –comfortable operating without a defined roadmap; able to assess a situation, determine the right path forward, and execute with confidence
  • Builds from scratch –given a desired outcome, can design a process, workflow, or framework independently
  • Learns the craft –invests in understanding the work deeply, not just conceptually; absorbs the day-to-day realities of the CSA role with the same seriousness as the strategic work
  • Executes with precision –produces accurate, well-organized work and understands that data quality and process integrity matter in a regulated environment
