You will work closely with advisors to ensure accurate processing, documentation, and efficient service, contributing to an exceptional client experience.

Qualifications

  • Bachelor's degree or equivalent experience.
  • 1-5 years of experience in financial services, banking, wealth management, insurance, or professional services.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook).
  • Excellent communication, organization, and customer service skills.
  • Exceptional attention to detail and ability to manage multiple priorities.

Responsibilities

  • Prepare and process new account paperwork and maintenance requests.
  • Coordinate client documentation, account updates, and transfers.
  • Respond professionally to client and advisor requests.
  • Maintain accurate electronic and physical client records.
  • Process money movement requests and custodial transactions through Charles Schwab.
  • Prepare client forms, reports, and presentation materials.
  • Monitor operational workflows and resolve routine issues.
  • Assist with client meeting preparation and follow-up.
  • Answer phones and greet clients professionally.
  • Manage incoming mail, scanning, filing, and document organization.
  • Support special projects and contribute to process improvements.
  • Maintain confidentiality and comply with firm policies and regulatory requirements.

Our client is an independent Registered Investment Advisor (RIA) providing investment management and financial planning services to individuals, families, and nonprofit organizations. They are seeking a detail-oriented Client Operations Associate to support the day-to-day operations of the firm while delivering an outstanding client experience. Position Summary:

The Client Operations Associate is responsible for supporting client account administration, operational workflows, and office operations. Working closely with advisors and the operations team, this role helps ensure transactions are completed accurately, client records are maintained, and daily operations run efficiently.

Key Responsibilities:
Client Service & Account Administration
  • Prepare and process new account paperwork and maintenance requests.
  • Coordinate client documentation, account updates, and transfers.
