Job summary

Hightower Advisors, based in Chicago, is seeking an Operations professional to support advisory teams through standard documentation and processes. You will ensure quality control, streamline workflows with finance and client reporting, and manage custodian access and data connections for advisor practices and the Hightower Home Office.

The role requires a customer-service mindset, the ability to work in a fast-paced environment, and knowledge of industry regulations.

Qualifications

• Bachelor's degree in business administration, operations management, or related field (or equivalent practical experience).
• 1+ years of experience in operations or a similar role.
• Excellent communication skills and attention to detail.

Responsibilities

• Execute and monitor operational processes per guidelines and procedures.
• Collaborate with finance, centralized services, and client reporting to streamline workflows.
• Create, maintain, and terminate custodian access for all individuals and advisor practices.
• Create, maintain, and terminate all rep codes and data feed connections for all advisor practices and Hightower Home Office.
• Collaborate with firms transitioning into Hightower.
• Handle special projects as needed.

Your Future Team

Hightower's Operations team supports Advisory teams through the creation, maintenance, and amendments of Client Agreements and custodian maintenance.

Reporting to the Manager of Operations, you will play a crucial role in ensuring the smooth functioning of our day-to-day operations. You will be responsible for ensuring standard documentation practices are followed, executing standard operational processes, and implementing quality control measures throughout Hightower operations. To be successful in this role, you must have a strong customer service attitude with the ability to think outside of the box in a fast-paced environment.

What You’ll Do

• Execute and monitor operational processes, ensuring adherence to established guidelines and procedures.
• Work closely with other departments, such as finance, centralized services, and client reporting, to streamline workflows, resolve operational issues, and enhance overall organizational efficiency
• Create, maintain, and terminate custodian access for all individuals, including all advisor practices as well as Hightower Home Office
• Create, maintain, and terminate all rep codes and data feed connections for all advisor practices as well as Hightower Home Office
• Work closely with firms that are transitioning into Hightower
• Special Projects as needed

What You’ll Bring

• Bachelor's degree in business administration, operations management, or a related field (or equivalent practical experience).
• 1+ years of experience in operations or a similar role
• Excellent communication skills and attention to detail
• Experience working with high-net-worth advisors/representatives
• Knowledge of industry-specific regulations and compliance standards
• Knowledge of Fidelity Wealthscape, Schwab Advisor Center, and Pershing Netx360+ preferred
• Knowledge of Salesforce is helpful
• Ability to work in a fast-paced environment
