Job summary

Annie Aesthetic is seeking an Operations Associate to provide hands-on operational support for medical aesthetics clinics and collaborate across the operations and marketing teams. The role reports to the Chief Implementation Officer and emphasizes process improvement, system optimization, and strategic alignment with partner brands.

Ideal candidates will bring 1.5+ years in operations or consulting, strong Excel and communication skills, and a proactive, travel-friendly mindset to support

• 1.5+ years of professional experience in operations, consulting, accounting, finance, or similar.
• Experience with marketing CRMs, automation tools, or analytics platforms is preferred.
• Experience in healthcare, medical aesthetics, or similar is a plus.

Responsibilities

• Support and manage project plans, build SOPs, and implementation checklists to support marketing rollout across Annie clinics.
• Lead initiatives notated in marketing strategies and drive momentum.
• Provide updates through weekly meetings and KPI tracking with Clinic Managers and AST.
• Coordinate with AST Directors, Marketing, and Clinic Managers to organize and monitor marketing workstreams.

Role Overview

The Operations Associate will play a critical role in providing operational support to medical aesthetics clinics with a focus on cross-functional work on the operations and marketing team. This role will report directly to the Chief Implementation Officer as part of the operations team, and will work closely with the broader Annie Aesthetic executive team and leaders at our partner brands to help support the brands' and organizations' growth objectives. This role entailed a mix of operational, marketing, and strategic responsibilities. The individual will be technically strong, action-oriented, diplomatic, and have excellent communication and project management skills. Technology integration and marketing experience is preferred, but not required.

Duties and Responsibilities

Operational & Project Management Support

• Support and manage project plans, build SOPs, and implementation checklists to support the rollout of marketing initiatives across Annie clinics (e.g., lead management, events, rebooking, campaign execution).
• Execute and project-lead initiatives notated in marketing strategies, continually driving a forward momentum.
• Provide updates through weekly team meetings and KPI tracking with Clinic Managers and AST, ensuring alignment between central strategy and local execution.
• Partner with AST Directors, AST Marketing, and Clinic Managers to organize and monitor marketing workstreams—ensuring accountability, timelines, and deliverables are met.

System Management

• Implementation of New Systems: Collaborate internally and externally with Zenoti and other system counterparts and in-clinic staff to develop workplan and ensure new system is implemented in a timely and efficient manner.
• Training and Support: Act as a trusted ally and leader for clinic teams on all things related to Zenoti, AesthetixCRM, and all other systems utilized at assigned clinics; including but not limited to providing training, day-to-day support, and ensuring the system is optimized for each practice.
• Constant Improvement: Stay up-to-date with Zenoti product knowledge and proactively plan future adoption areas to streamline operations and increase revenue.

Vendor Management & Compliance

• Interface with third party vendors for day-to-day needs of the clinic and ad-hoc items as required. Vendors include pharma / clinical, marketing, IT, maintenance / building management, etc.
• Ensure adherence to regulatory requirements in each clinic related to business licenses and permits and clinical compliance and best practices.

Education / Experience

• Bachelor’s degree required
• 1.5+ years of professional experience in operations, consulting, accounting, finance, or similar.
• Experience with marketing CRMs, automation tools, or analytics platforms is preferred.
• Experience in healthcare, medical aesthetics, or similar is a plus.

• Strong interpersonal skills with proven ability to build trusted relationships across all levels of the organization.
• Advanced user of Excel; technical systems.Technology integration experience is preferred.
• Excellent written and verbal communication skills with the ability to articulate complex concepts clearly and sensitive items with kindness.
• Creative and strategic thinker with strong judgment in brand alignment, messaging, and presentation; able to generate new ideas to improve marketing execution and system efficiency.
• Ability to operate in fast-paced, ambiguous environments with a focus on results.
• Track record of successfully managing multiple work streams and optimizing processes.
• Open to travel as required.
