Qualifications

  • 1–4 years in operations, financial services, investor services, fund administration, or accounting support.

  • Strong written and verbal communication with investors and advisors.
  • Experience with Microsoft Excel, Word, and Outlook; Salesforce helpful.

The Role

We are hiring an Operations Associate to support investor onboarding, investor services, fund accounting, and the systems that connect those functions. This person will work directly with investors, family offices, and financial advisors while managing the detailed internal work required to keep records accurate, deadlines visible, and processes moving.

This is a broad, hands-on role on a close-knit team. Work volume changes throughout the year, and priorities can shift quickly. During high-volume periods, everyone helps where the need is greatest. During quieter periods, the focus turns to data quality, process improvement, documentation, and building stronger infrastructure. The right person will take ownership without waiting to be directed, learn unfamiliar work independently, and recognize when an issue should be escalated.

What You Will Do

  • Coordinate investor onboarding activities, including data collection, document tracking, follow-up, and preparations for fund closings.
  • Enter and maintain accurate information across the business in primary databases.
  • Review onboarding records and related tasks for completeness and consistency and escalated issues promptly when needed.
  • Support investor and financial advisor requests with clear, timely, and professional communication.
  • Maintain portal access, document uploads, distribution lists, dashboards, and organized investor records.
  • Track capital activity and related deadlines, including capital call follow-up, notices, and internal status reporting.
  • Support fund launches, investor closings, and coordination with third-party fund administrators and custodians.
  • Assist the fund accounting team with data entry, reconciliations, invoice tracking, file organization, and tax and audit preparation.
  • Maintain organized digital files and documentation in accordance with firm procedures and compliance requirements.
  • Provide support across the Operations, Fund Accounting, and Investor Relations teams as workloads shift.
  • Own recurring task lists, status trackers, and operational calendars rather than waiting for reminders.
  • Identify inefficient or unclear processes and recommend practical improvements.
  • Use lower-volume periods to improve data quality, strengthen controls, organize records, and advance firm infrastructure projects.
  • Take on special projects and new responsibilities as the business grows.

What You Bring

  • One to four years of experience in operations, financial services, investor services, fund administration, accounting support, or another detail-intensive role.
  • A track record of taking ownership, teaching yourself new systems or processes, and following work through to completion.
  • Exceptional organization and attention to detail, including the discipline to keep data and documents accurate across multiple systems.
  • Strong written and verbal communication and the judgment to represent the firm well with investors, advisors, and external partners.
  • Emotional intelligence, self-awareness, and the ability to remain constructive and composed during stressful periods.
  • Sound prioritization skills and comfort working through shifting deadlines and competing requests.
  • Working knowledge of Microsoft Excel, Word, and Outlook; experience with Salesforce, document portals, fund administration, or workflow systems is helpful.
  • Comfort working with financial data and metrics. Private markets expertise is welcome but not required; curiosity and a willingness to learn are essential.
  • A bachelor's degree is preferred. An equivalent combination of education and relevant experience will be considered.
