Job Summary:
We are seeking a proactive and detail-oriented Operations Assistant (Part-Time) to provide critical administrative and operational support across client services, team onboarding, payroll reconciliation, and lead management. This role ensures day-to-day activities run smoothly by managing scheduling, maintaining employee records, tracking compliance, and supporting construction cleaning quote management. The ideal candidate will be organized, resourceful, and capable of handling multiple systems including MaidCentral, Gusto, and Velocity CRM (training provided). Additional responsibilities include supporting client communication, assisting with marketing tasks such as social media messaging and referral rewards, and following up on outstanding client and team requests. This is an excellent opportunity for someone with strong organizational skills looking to grow in an operations-focused role.
Key Responsibilities:
- Manage client and team onboarding, including sending required documents (NYC/NYS forms, pay calendar, handbook, consent forms) and tracking compliance.
- Maintain and update employee training records in MaidCentral and Gusto; follow up on outstanding items weekly.
- Review time logs, resolve discrepancies, and reconcile payroll in Gusto and MaidCentral daily.
- Input construction cleaning quotes into Velocity, track responses, and follow up with clients as needed.
- Research new construction properties for potential outreach; compile contact information and prioritize leads.
- Send client feedback requests for recurring services, monitor responses, and compile data for rewards program.
- Support Denise with various administrative tasks, including email management, follow-up on outstanding client requests, and calendar management.
- Provide support for occasional marketing tasks, such as sending referral rewards and assisting with social media messaging.
- Other Duties: Perform additional tasks related to the position as needed.
Qualifications & Requirements:
- Advanced to Native level of English (written and spoken).
- Native Spanish speaker with excellent communication skills.
- Must possess exceptional communication skills, both written and verbal (English and Spanish), with strong follow-up abilities and a knack for anticipating needs.
- Excellent organizational skills, with attention to detail and accuracy
- Experience managing client communications and service scheduling
- Ability to handle confidential information with discretion
- Strong research skills for lead generation and outreach
- Ability to follow SOPs and provide feedback for improvements
- Proactive and resourceful in problem-solving
- Basic marketing support experience (social media, email templates).
- Ability to work independently and remotely with minimal supervision.
- Must have a Windows computer (Windows 10 or newer) that is less than 4 years old.
- Two monitors and a high-speed fiber network or Starlink internet.
