We are seeking a dynamic and highly organized Operations Assistant to join our team! This vital role ensures the smooth and efficient functioning of our team, supporting daily administrative tasks, managing communication channels, and assisting with office management duties. The ideal candidate will bring enthusiasm, excellent organizational skills, and a proactive attitude to help foster a productive workplace. The Operations Assistant role performs sample accessioning and administrative data entry, order fulfillment and shipping, routine customer and partner support, inventory and office support, documentation, and other operational tasks that keep customer orders and laboratory workflows moving.
ESSENTIAL DUTIES AND CORE RESPONSIBILITIES:
- DNA Sample Accession, Data Entry, and Record keeping
- Order Fulfillment and Shipping Execution
- Answering phone calls from customers and distributors
- Customer service and care with scheduling and working appointments
- Responding to and resolving administrative inquiries and questions
- Helping in laboratory with samples
- Filing documents and uploading Reports
- Organizing and constructing DNA kits
- Overseeing clerical and storage tracking
- Reporting low inventory to upper management
- Fulfilling online kit orders
- Corresponding with DDNA account representatives about sample statuses
- General cleaning, disinfecting, and organizing of office and laboratory
- Maintaining open communication between office members
- General greetings of couriers and postal workers
- Running errands (bank, storage unit, post offices, ect.)
- Performs other related duties as assigned
Extended:
- Collecting and organizing medical records
- Properly coding services, procedures, diagnoses, and treatments
- Submits and checks patients’ insurance for prior authorization requirements
- Coordinates the insurance billing function of the business office, and sees to the proper application of patient, insurance, and other payments.
- Collaborating with patients or customers, third party institutions and other team members to resolve billing inconsistencies and errors
- Inputting payment history, upcoming payment information or other financial data into an individual account, scanning in patient documents
- Performs insurance follow-up procedures
- Performs other clerical or office duties as assigned by Director of Operations
REQUIRED SKILLS/ABILITIES:
- Must maintain clear, professional, and respectful communication with coworkers, customers, providers, distributors, and leadership,
- Proficient in Microsoft Office Suite or related software
- Excellent organizational skills and attention to detail
- Basic understanding of clerical procedures and systems such as recordkeeping and filing
- Ability to work independently
- Must have Excellent customer service skills
- Effective computer skills to input to use bookkeeping and account management software in a timely and efficient manner
- Understanding of industry-specific policies, such as HIPAA regulations for health care
Education and Experience:
- Associates degree required; Bachelor’s degree in related field preferred.
- 1-2 years of experience in an office, administrative, customer-service, or similar environment preferred; healthcare-setting or insurance-billing experience is beneficial.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
