We're excited to announce a new opportunity for an Operations and Communications Associate to join our team!
The Operations and Communications Associate works closely with the Director of Operations on a wide range of internal communications, including employee-facing messaging, calendars, and firm-wide systems such as SnapComms, Everbridge, and the Microsoft 365 suite. This role also partners with Executive Leadership by providing scheduling support and general administrative assistance. In addition, the Associate supports a variety of virtual, in-person, and hybrid internal events. The Operations and Communications Associate is a proactive, detail-oriented professional who collaborates effectively with leadership, support departments, and staff at all levels of the organization while successfully managing multiple priorities and deadlines.
Responsibilities
Specific areas of responsibility include, but are not limited to:
- Provide occasional support to members of the executive team as needed, including internal scheduling,meeting preparation, centralized planning, communications, and special projects.
- Prepare schedules and communications for Leadership Office Hours.
- Prepare and execute internal communications on behalf of Executive Leadership, including drafting, routing for approval,andschedulingthrough appropriate internal channels.
- Assist with meeting preparation and communication with the Boardand its quarterly meetings.
- Coordination and logistics of all Executive Leadership meetings and events, including on-site support
Internal Communications
- AssisttheDirector ofOperations withcreation and distribution offirmwide communications and staff engagement contentthroughinternal newsletters,emergency alerts,SnapComms,Microsoft365communication tools, and otheremployee-facingmessaging.
- Maintain internal communications calendar, including approval workflow tracking, scheduling,andexecution.
- Track internal communication activity,engagement, and analyticswhere applicable,forallinternalchannels.
Microsoft 365Support
- Support Microsoft 365 tools used for internal communicationsandstaff engagement,includingbut not limited to the YPTCSharePointintranetsite,Viva Engage, Outlook, and Teams.
- Assist with the creation, scheduling, posting, andtrackingof internal communications through Microsoft Viva Engage, Viva Amplify, Teams, Outlook, and SharePoint.
- Maintain and update the firm’s SharePoint intranet pages by coordinating with department leaders and contenteditorsto keep contentaccurate, organized, relevant, andaligned with firmstandards.
- Provide basic administrative support for Microsoft 365 tools, including content updates, permissions coordination,instructions,and general troubleshooting.
Internal OperationsandEvents
- Assistwithcoordinating and schedulingthe firmcalendar, includingstaff meetings, events, conferences, leadership meetings, office hours, andrelated Outlook calendar updates.
- Provide supportfor regionaland leadershipin-person meetings, including logistics and onsite support
- SupportpreparationofAnnual Awardsvirtualmeeting and other eventor meeting-related projects as needed
Qualifications
Qualifications and Experience:
- Bachelor’s or equivalentdegree from an accredited college/university
- 5+years of experience in high-level administrative,strategic operations,or leadership supporting roles
- Experience drafting, editing, and coordinatingcontent andworkflowsforfirmwidecommunications.
- Proficiency with Microsoft 365 tools, including Outlookcalendar management, Teams,VivaEngage,Viva Amplify,and SharePointintranet editing
Skills and Competencies:
- Excellent verbal and written communication skills, with a strong understanding of tone, audience, and message clarity in employee-facing communications
- Strong attention to detailand ability tomultitask, withexcellent time management and adherence to deadlines
- Demonstratedself-starter with a proactive mindsetandanability to anticipate problems and offer solutions
- Ability to translate complex or leadership-level information into clear, employee-friendly messaging while maintainingconsistentbrand voice, formatting standards, andinternalcommunication templates
- High level of professionalism, integrity,and discretion in handling sensitive and confidential information
- Exceptional judgment and demonstrated ability to make key decisions quickly and effectively
- Skilled in Microsoft 365 applications used for communications, collaboration, and content management
- Excellent relationship managementskills, with theability tocollaborateeffectivelyacrossdepartments
- A commitment to ongoing continuing professional development
Job Requirements:
- A commitment to on-site work in the Philadelphia office, as needed,up to 3 days per week
- A willingness to travel up to 20%in conjunction withsemiannualin-person regional meetings
- Ability to lift 20-25 pounds when necessary

Starting annual base salary is $68,000 to $85,000 based on a 35-hour work week for this exempt position.Total compensation may increase with overtime pay and eligibility for various bonuses. A professional development reimbursement and technology stipend are also provided on an annual basis.
