About the Role
We’re looking for a highly organized and detail-oriented Operations & Administrative Specialist to support the day-to-day operations and strategic initiatives of our team. This is a remote role that blends administrative precision with operational execution, ideal for someone who enjoys wearing multiple hats and thrives in a fast-paced, collaborative environment.
Key Responsibilities
Coordinate and execute procurement activities including vendor onboarding, PO processing, and tracking purchases
Maintain and update operational documents such as project roadmaps, spreadsheets, trackers, and dashboards
Prepare high-quality presentations for internal and external stakeholders
Capture and distribute detailed meeting notes; track and follow up on action items across cross-functional teams
Support project management efforts by assisting with scheduling, documentation, and status tracking
Liaise with internal departments (e.g., Finance, Legal, IT) to ensure timely flow of information and approvals
Provide general administrative support as needed to ensure team efficiency and organization
What You’ll Bring
2–4 years of experience in a coordination, project support, or administrative role
Strong organizational and time management skills with the ability to manage multiple priorities
Proficiency in tools like Google Workspace (Docs, Sheets, Slides), Excel, and project management platforms (e.g., Asana, Jira, Smartsheet)
Excellent written and verbal communication skills
Self-starter attitude with a proactive approach to solving problems and driving tasks to completion
Discretion and ability to handle confidential information
Nice to Have
Experience in a tech or startup environment
Exposure to procurement or vendor management processes
Familiarity with creating business presentations and reports for executive stakeholders
