The Clinical Administrative Coordinator is responsible for entering all reportable and critical incidents into the designated electronic platform, supporting effective management and compliance with federal and state regulations. The role involves compiling and maintaining report data for the PathWays Program, ensuring timely submissions to FSSA, and collaborating with internal and external health plan partners. The coordinator provides administrative support to track and analyze data, aiding in mitigating future incidents and maintaining audit readiness.

Working Schedule: Monday through Friday, 8 AM - 5 PM EST.

Location: Remote in Indiana. Residents within Indiana will have the flexibility to telecommute.

Primary Responsibilities
  1. Analyze reports to determine if they meet criteria for critical incidents.
  2. Identify and report abuse, neglect, or exploitation (ANE) as appropriate.
  3. Verify member eligibility.
  4. Notify analysts of immediate threats to member safety.
  5. Gather and review additional incident information from providers or other parties.
  6. Assign incidents to analysts based on regional designations.
  7. Participate in interdisciplinary team efforts.
  8. Document incidents following industry standards.
  9. Maintain databases for reports and analyses.
  10. Prepare ad hoc reports as needed.
  11. Coordinate with clinical staff and providers for incident information.
  12. Manage special projects to meet deadlines.
  13. Identify and implement best practices.
  14. Foster positive relationships with partners and stakeholders.
  15. Apply creativity in problem-solving.
  16. Support team goals and promote process efficiency.

Qualifications
Required:
  • High School Diploma or GED.
  • At least 1 year in healthcare or related fields.
  • Proficiency in Microsoft Office.
  • Reside in Indiana.
Preferred:
  • Over 2 years of relevant experience.
  • Experience with Managed Long-Term Services and Supports (MLTSS).
  • Medical record review experience.
  • Knowledge of healthcare systems and claims processing.
