Job summary

Addison Group in Dripping Springs, TX is seeking an organized Operations Administrative Assistant to join the team on a contract-to-hire basis. This role provides essential administrative and operational support in a fast-paced construction environment, coordinating project docs and assisting project teams daily.

The ideal candidate will have 3–6 years of administrative experience in construction, strong communication, and proficient MS Office usage.

Qualifications

  • Three to six years of administrative experience in the construction industry.
  • Strong written, verbal, and interpersonal communication skills.
  • Excellent organizational and time management skills.
  • Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat.
  • Experience with construction accounting or project management software is preferred.
  • Active Notary Public certification is preferred but not required.

Responsibilities

  • Prepare and maintain subcontractor purchase orders and billing schedules using construction management software.
  • Process, track, and distribute subcontractor change orders through the approval process.
  • Review, code, and route subcontractor invoices using the company's document management system.
  • Monitor subcontractor work orders and maintain accurate project documentation.
  • Organize and maintain electronic project files and shared documentation.
  • Update project schedules, reports, and spreadsheets using Microsoft Excel.
  • Coordinate incoming project correspondence and ensure documentation is routed to the appropriate team members.
  • Provide administrative support to Project Managers and operations leadership.
  • Assist with general office responsibilities, including filing, answering phones, data entry, and document preparation.
  • Complete additional administrative and operational tasks as needed to support business objectives.
