Responsibilities

  • Communicate assignments and schedule changes to field staff and management.
  • Answer phones and route incoming requests professionally.
  • Communicate with clients regarding scheduling and documents.
  • Assist with onboarding new projects and organizing project files and documentation.
  • Maintain organized digital and physical records.
  • Schedule meetings and track deadlines and action items.

Job description

CASE is looking for a dependable, highly organized Administrative & Operations Assistant to support our Owner, Director of Operations, and management team. This is a hands‑on role for someone who enjoys keeping people organized, communicating with clients and employees, managing schedules, and making sure important details do not get missed.

One of the primary responsibilities will be coordinating the daily schedule for approximately 8‑10 employees including engineers, inspectors, and technicians. You will also help manage leadership calendars and email, answer phones, assist with project setup, organize files, communicate with clients, and provide basic laboratory sample support after training.

What You'll Do
  • Help manage the Owner's email, calendar, appointments, and follow‑up items.
  • Provide daily administrative support to the Director of Operations and management team.
  • Coordinate scheduling for approximately 8‑10 inspectors and technicians.
  • Communicate assignments and schedule changes to field staff and management.
  • Answer phones and professionally handle or route incoming requests.
  • Communicate with clients regarding scheduling, projects, documents, and routine questions.
  • Assist with onboarding new projects and organizing project files and documentation.
  • Maintain organized digital and physical records.
  • Schedule meetings and help track deadlines and outstanding action items.
  • With training, receive and log incoming samples and initiate the sample process so laboratory technicians can efficiently perform testing.
  • Help keep samples, documentation, and laboratory workflow organized.
  • Make routine bank deposits and assist with basic office and accounting‑related administrative tasks.
  • Assist with office supplies, vendors, deliveries, and general office organization.
  • Take initiative to identify and complete useful administrative work during slower periods.

Full‑time

Work Agreement

Hybrid; in‑office and remote work based on operational needs

Pay

$24‑$28 per hour, depending on experience and qualifications
