Job summary

HCA Healthcare is seeking an Operating Room Scheduling Coordinator to manage daily surgical schedules at Medical City Weatherford on site. You will serve as the central link among physician offices, OR staff, and surgical teams to ensure efficient patient care and optimal use of operating room resources.

The role requires coordinating with surgeons, anesthesiologists, and nursing teams, maintaining records, and adjusting schedules for emergencies or changes in status.

Qualifications

• Experience scheduling in a healthcare or surgical setting is preferred.
• Strong organizational and multitasking abilities.
• Ability to communicate with physicians, nursing staff and administrators.

Responsibilities

• Coordinate and schedule surgical procedures to optimize OR time and resources.
• Ensure schedules are verified with physician offices, surgeons, anesthesiologists and nursing teams.
• Maintain accurate records of surgical schedules and patient information.
• Monitor and adjust schedules for emergencies, cancellations, or changes in patient status.
• Identify scheduling conflicts and implement workflow improvements.
• Attend daily Look-Ahead meetings to address issues and prevent delays.
• Ensure compliance with hospital policies and regulatory requirements related to scheduling.
• Provide administrative support and generate reports for the surgical services department.

Job Summary And Qualifications

The Operating Room Scheduling Coordinator is responsible for managing and coordinating the daily schedules of surgical procedures in the operating room. This role ensures optimal utilization of operating room resources, maintains accurate records, and collaborates with surgical teams to provide efficient and effective patient care. This role is the central link between physician office staff, operating room staff, surgeons, anesthesiologists, nursing teams, surgical vendor teams, and other administrative personnel.

In this role you will:

• Coordinate and schedule surgical procedures, ensuring optimal use of operating room time and resources.


• Create a welcoming, professional environment while engaging with physician office staff, surgeons, anesthesiologists, nursing teams, and other healthcare professionals to verify schedules and efficiently resolve conflicts.


• Maintain accurate and up-to-date records of surgical schedules, patient information, and operating room utilization.


• Monitor and adjust schedules as needed to accommodate emergencies, cancellations, and changes in patient status.


• Proactively identify scheduling conflicts or inefficiencies, communicate with the relevant parties to facilitate resolutions, and implement best practices to streamline workflow.


• Attend and contribute to daily 5 Day Look-Ahead meetings to ensure any issues are addressed including preventing cancellations and delays.


• Ensure compliance with hospital policies, procedures, and regulatory requirements related to operating room scheduling.


• Provide administrative support to the surgical services department, including data entry, report generation, and record keeping.


• Participate in departmental meetings and contribute to continuous improvement initiatives.

Qualifications

• High school diploma or equivalent required


• Previous experience in healthcare scheduling, preferably in a surgical or operating room setting.
