Job summary

Intellectt Inc. is seeking an Onsite Project Coordinator to support day-to-day project execution for an Oil & Gas field verification project.

You will coordinate between client stakeholders, onsite field teams, offshore/back-office teams, vendors, and site representatives to keep work aligned with scope and schedule. Responsibilities include site readiness, field walkdowns, documentation, tracking deliverables, and resolving client queries while maintaining project controls and risk awareness.

Qualifications

• 3–5+ years of project coordination experience in oil & gas environments.
• Experience coordinating field verification, documentation, and client queries.
• Strong knowledge of P&IDs, Plot Plans and field data handling.

Responsibilities

• Serve as the primary coordination point among client stakeholders, on-site teams, and vendors.
• Support execution planning, site readiness, mobilization, permits, and access.
• Coordinate field walkdowns, verifications, and documentation using latest drawings.
• Maintain project trackers, progress reports, and action/closure status.
• Facilitate meetings and prepare concise status updates highlighting risks.
• Escalate blockers related to site access, safety prerequisites, or delayed inputs.

Job description

The Onsite Project Coordinator will support day-to-day project execution for an Oil & Gas field verification project. The role will coordinate between client stakeholders, onsite field verification teams, offshore/back-office teams, vendors, and site representatives. The position will manage site readiness, field walkdowns, documentation, project tracking, deliverables, client queries, and issue resolution while ensuring execution remains aligned with project scope and schedule.

Key Responsibilities:

• Serve as the primary coordination point between client stakeholders, onsite field teams, offshore/back-office teams, vendors, and site representatives
• Support execution planning, site sequencing, mobilization/demobilization, work-front readiness, permits, documentation, and site access requirements
• Coordinate field walkdown and verification activities covering P&IDs, Plot Plans, Area Classification drawings, Lease Flow Diagrams, equipment tags, instruments, control valves, PSVs, and nameplate data
• Ensure field teams are working with the latest approved drawings, templates, checklists, and red-line/blue-line markup practices
• Monitor completion and quality of field inputs, including red-lined drawings, asset register templates, PSV templates, photo logs, discrepancy summaries, query logs, and progress reports
• Coordinate resolution of client clarifications, site queries, missing information, tagging discrepancies, and field-observed deviations
• Maintain project trackers covering site readiness, document receipt, pending clarifications, field completion, deliverable status, review comments, action owners, due dates, and closure status
• Facilitate progress meetings and prepare concise project status updates highlighting risks, dependencies, and open actions
• Escalate blockers related to site access, permits, safety prerequisites, missing drawings, operational constraints, or delayed client inputs
• Coordinate with project leadership to align onsite execution with resource utilization, schedule requirements, and project tracking processes
• Maintain scope discipline and distinguish field verification/documentation activities from excluded engineering calculations, physical measurements, EDMS uploads, asset hierarchy development, BOM preparation, and other excluded activities

Requirements:

• BE/B.Tech degree in Mechanical Engineering
• 3–5+ years of experience in project coordination, site coordination, field engineering, or project execution
• Experience in Oil & Gas, refinery, petrochemical, EPC, or plant/process facility environments
• Experience coordinating field walkdowns, site verification, or field documentation activities
• Strong knowledge of P&IDs and Plot Plans
• Experience with equipment tags, instruments, control valves, PSVs, and nameplate data
• Experience coordinating client stakeholders, field teams, vendors, and offshore/back-office teams
• Experience with site readiness, access requirements, permits, and work-front coordination
• Strong project tracking skills involving deliverables, action items, owners, due dates, and closure status
• Experience handling client queries, discrepancies, missing information, and field-observed deviations
• Knowledge of red-line/blue-line markups, field verification documentation, photo logs, and discrepancy reports preferred
• Strong communication, documentation, reporting, and stakeholder management skills
• Experience with project progress meetings, risk/dependency tracking, and project controls is preferred
• Must be willing to work onsite in Midland, Texas
