Job summary

New York Life Insurance Co. is seeking an Operations Specialist to support daily operations at our General Offices in Los Angeles, serving agents and clients.

You will provide administrative and operational support to the Managing Partner and leadership team, acting as a key contact for agents and guiding onboarding for new agents. You will greet visitors, manage calls, process AP/AR, and assist with facility needs.

Qualifications

• Requires minimum of 3 years experience in customer service or office administration.
• Excellent written and verbal communication skills.
• Strong computer skills with proficiency in the Microsoft Office Suite.
• Associates or bachelor’s degree preferred, but not required.

Responsibilities

• Provide administrative and operational support to the Managing Partner and management team.
• Collaborate with the onsite Service Leader to ensure efficient operations.
• Act as a point of contact for agents, addressing inquiries promptly and professionally.
• Greet and welcome visitors.
• Answer and direct phone inquiries.
• Coordinate accounts payable and receivable, including agent payments, expenses, and card reconciliations.
• Handle incoming and outgoing mail and deliveries per regulatory guidelines.
• Assist with facility management (maintenance requests, network issues, etc.).
• Manage resource assignments for new agents and onboarding experience.
• Perform additional duties such as control reports, meeting prep, and fingerprinting for candidates.
