Job summary

The Obama Foundation is seeking a Convenings Associate to lead assigned OPC and Foundation events onsite at the Obama Presidential Center in Jackson Park. You will manage attendee journeys from invitation through registration and on-site reception, ensuring accessible, welcoming experiences while coordinating travel, lodging, and vendor services.

Qualifications

• 3 years of experience in event planning, attendee management, hospitality, conference management or related roles.
• Experience managing registration and attendee operations for complex events.
• Proven ability to manage multiple events and priorities with strong attention to detail.

Responsibilities

• Lead planning and execution of assigned OPC and Foundation convenings, managing timelines and onsite delivery.
• Oversee attendee management and registration, including builds, invitations, data, and check-in.
• Serve as primary Convenings point of contact and coordinate communications with attendees.
• Lead food and beverage planning, hotel accommodations, travel, and transportation logistics.
• Develop attendee management standards, workflows, templates, and tools across events.
• Ensure accessibility and high-touch guest needs are met with discretion.
• Manage vendors, budgets, invoices, and service expectations for convenings.
• Provide attendee management expertise for convenings led by others on the team.
