Job summary

The University of Chicago is seeking an OnCore Training Specialist to support the OnCore CTMS across the research enterprise. You will develop, deliver, and maintain training programs, guides, and resources for research staff and operational stakeholders throughout the clinical research lifecycle.

You will work with RSCA and OCR teams to promote standardized workflows, data quality, and compliance while enabling system adoption, improvements, and analytics.

• Coordinates onboarding and role-based training activities for clinical research personnel.
• Designs strategic educational programs for system enhancements and process changes.
• Serves as a subject matter expert for OnCore and related integrations (EPIC, AURA, Oracle, Vestigo).
• Collaborates with system admins and stakeholders to support implementation of new functionality and workflow improvements.
• Participates in testing and validation activities for upgrades and new features.
• Maintains training environments and develops training scenarios for hands-on activities.
• Tracks training participation and outcomes; develops reports for decision making.

The Office of Clinical Research (OCR) is dedicated to supporting the infrastructure for the management and administration of clinical research at The University of Chicago as well as individual research programs with the goal of improving communication, consistency, and collaboration across the Biological Sciences Division and UChicago Medicine. To mission of the OCR is to catalyze clinical research by providing expertise, resources, infrastructure, and systems that facilitate clinical research operations and enable collaboration across the enterprise while promoting compliance and human subject protection on behalf of our diverse community of patients and volunteers.

Job Summary

The job provides professional support and solves straightforward problems in the development, deployment, and support of information technology products and services used in teaching and learning. The Oncore Training Specialist is dedicated to supporting the effective utilization, adoption, and optimization of the OnCore Clinical Trial Management System (CTMS) across the University research enterprise. The OnCore Training Specialist plays a crucial role in developing, delivering, and maintaining training and educational programs that support research staff, faculty, and operational stakeholders throughout the clinical research lifecycle. As a member of the Research Systems & Coverage Analysis (RSCA) Unit within the Office of Clinical Research, the OnCore Training Specialist works as part of a team to support and optimize clinical research operations, partnering closely with research teams and key stakeholders throughout the institution. The OnCore Training Specialist serves as a subject matter resource for OnCore and related research technologies, helping advance system adoption, data quality, compliance, and operational effectiveness while promoting standardized research workflows and best practices.

Responsibilities

• Develops, delivers, and maintains training programs and educational materials supporting utilization of the OnCore Clinical Trial Management System (CTMS).
• Creates and updates user guides, standard operating procedures, job aids, reference materials, presentations, and other educational resources related to OnCore functionality and workflows.
• Coordinates onboarding and role-based training activities for clinical research personnel.
• Partners with department leadership to assess evolving training needs and designs strategic educational programs for system enhancements, ensuring all delivery methods remain current, effective, and aligned with process changes.
• Serves as a subject matter expert for OnCore and related integrations (EPIC, AURA, Oracle, Vestigo), providing guidance and support to end users.
• Collaborates with system administrators, operational teams, and stakeholders to support implementation of new functionality, workflow enhancements, and system optimization efforts.
• Participates in testing and validation activities associated with system upgrades, enhancements, and new functionality.
• Maintains training environments and develops training scenarios to support hands-on educational activities.
• Develops and maintains workflow documentation and training resources to promote consistent utilization of clinical research systems and processes.
• Tracks training participation, completion metrics, and educational outcomes; develops reports to support operational decision making and continuous improvement activities.
• Communicates system updates, process changes, and educational opportunities to research teams and institutional stakeholders.
• Supports audits, quality assurance activities, and process improvement initiatives related to clinical research systems and operational workflows.
• With some direction from others, performs a variety of IT activities supporting an e-learning environment, such as designing curriculum content.
• Monitors and analyzes trends, identifies opportunities, and explores innovative approaches to teaching and learning problems. Works with other units across campus to aggregate services in an academic context.

Minimum Qualifications

• Education: Minimum requirements include a college or university degree in related field.
• Work Experience: Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

• Experience: Proficiency with the Clinical Trial Management System, Oncore, and related research technologies.
• Knowledge of clinical research operations and the clinical trial lifecycle.

• Proficiency with Microsoft Office applications including Word, Excel, PowerPoint, and Teams.
• Ability to develop reports, analyze metrics, and evaluate training effectiveness.
• Communicate complex technical concepts to audiences with varying levels of system knowledge.
